Job Overview We are seeking a friendly, organized, and professional Front Desk Receptionist to join our Assisted Living Facility team. In this vital role, you will be the first point of contact for residents, visitors, and staff, ensuring a warm and welcoming environment while efficiently managing daily administrative tasks. Your positive attitude and exceptional organizational skills will help create a comfortable atmosphere for our residents and support smooth facility operations. Responsibilities Greet residents, visitors, and staff with warmth and professionalism, establishing a positive first impression. Manage multi-line phone systems, answer inquiries promptly, and direct calls appropriately using excellent phone etiquette. Handle front desk duties including checking in visitors, managing visitor logs, and ensuring security protocols are followed. Perform clerical tasks such as data entry, filing, proofreading documents, and maintaining accurate records using Microsoft Office and Google Workspace tools. Schedule appointments, manage calendars for staff or residents as needed, and assist with basic office management duties. Support administrative functions such as bookkeeping for gift shop, auditing tech systems, handling invoices or billing tasks when required. Maintain organization of office supplies, files, and correspondence to ensure efficient daily operations. Qualifications Proven experience in office management or administrative roles within healthcare or assisted living environments preferred. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry skills. Excellent customer service skills with the ability to communicate effectively with diverse populations; bilingual abilities are a plus. Demonstrated organizational skills with attention to detail in filing, proofreading, and managing schedules. Experience operating multi-line phone systems and practicing professional phone etiquette. Ability to handle multiple tasks efficiently while maintaining a friendly demeanor under pressure. Prior clerical experience including typing, proofreading, and personal assistant responsibilities is highly desirable.
