The ideal candidate will have dental office experience, strong knowledge of dental insurance and PPO plans, excellent patient communication skills, and the ability to manage a busy front desk efficiently. Fluent English and Spanish are required. Dental insurance and dental front-desk experience are strongly preferred. Key Responsibilities Patient & Front Desk Operations Welcome patients and provide a warm, professional experience from check-in to check-out. Answer incoming calls and manage a multi-line phone system. Schedule, reschedule, and confirm dental appointments. Manage the daily schedule and coordinate appointments with doctors and clinical staff. Check patients in and out efficiently. Maintain accurate patient demographic information. Collect copayments, deductibles, coinsurance, and outstanding balances. Maintain a clean, organized, and professional reception area. Dental Insurance Verify dental insurance eligibility and benefits before appointments. Obtain detailed information regarding deductibles, annual maximums, frequency limitations, waiting periods, exclusions, and coinsurance. Determine estimated patient responsibility for dental procedures. Explain treatment estimates and insurance benefits clearly to patients. Understand PPO allowed fees, contractual adjustments, and write-offs. Submit electronic dental insurance claims accurately and promptly. Track outstanding claims and follow up on unpaid or delayed claims. Review EOBs and identify insurance payment discrepancies and denials. Assist with claim corrections, attachments, narratives, and additional documentation. Coordinate primary and secondary dental insurance when applicable. Communicate with insurance companies regarding benefits, claims, denials, and treatment estimates. Help reduce outstanding insurance receivables and patient balances. Treatment Coordination Review proposed treatment plans with patients and explain estimated insurance coverage and patient responsibility. Assist patients with financial questions regarding recommended dental treatment. Coordinate treatment appointments based on the dentist's treatment plan. Help patients understand financing and payment options when available. Obtain required insurance information and documentation before treatment. Dental Office Administration Maintain accurate electronic dental records. Scan and upload insurance documents, EOBs, referrals, and other patient documentation. Verify that insurance information remains current. Communicate effectively with dentists, dental assistants, hygienists, and office management. Maintain HIPAA compliance and patient confidentiality. Assist with daily administrative tasks necessary for smooth dental-office operations.

Preferred:
Previous experience working in a dental office. Dental insurance verification and billing experience. Experience submitting dental claims and following up on unpaid claims. Knowledge of PPO dental insurance. Experience reading and understanding EOBs. Knowledge of deductibles, annual maximums, coinsurance, downgrades, frequency limitations, and contractual adjustments. Experience with Eaglesoft, Dentrix, Open Dental, or similar dental practice-management software. Experience coordinating treatment plans and patient financial arrangements. Ideal Candidate We are looking for someone who can do more than answer phones and schedule appointments. The ideal candidate understands the dental front desk from check-in to claim submission and payment posting. You should be comfortable communicating with patients, insurance companies, and the clinical team while keeping patient accounts and insurance information accurate. A strong understanding of dental insurance billing and claims is a major advantage.
