The Medical Secretary 2 plays a critical role in ensuring the smooth and efficient operation of healthcare facilities by providing advanced administrative support to medical staff. This position involves managing patient communications, scheduling appointments, and maintaining accurate medical records with a high degree of confidentiality and professionalism. The Medical Secretary 2 acts as a liaison between patients, healthcare providers, and insurance companies, facilitating clear and timely information exchange. This role requires a thorough understanding of medical terminology, healthcare procedures, and regulatory compliance to support clinical operations effectively. Ultimately, the Medical Secretary 2 contributes to enhancing patient care quality by ensuring administrative processes are handled accurately and efficiently.
Minimum Qualifications:
High school diploma or equivalent required; associate degree or higher preferred. Minimum of 2 years of experience in a medical administrative or secretarial role. Proficiency with electronic health record (EHR) systems and standard office software (e.g., Microsoft Office). Strong knowledge of medical terminology and healthcare administrative procedures. Excellent organizational, communication, and interpersonal skills.
Preferred Qualifications:
Certification as a Medical Secretary or Medical Administrative Assistant (e.g., CMAA, CMAS). Experience working in a specialized medical setting such as cardiology, oncology, or pediatrics. Familiarity with insurance billing processes and medical coding. Ability to handle multiple priorities in a fast-paced healthcare environment. Bilingual skills, particularly in Spanish or other commonly spoken languages in the United States.
Responsibilities:
Manage complex scheduling for patient appointments, procedures, and follow-ups, coordinating with multiple healthcare providers. Maintain and update patient medical records and documentation in compliance with HIPAA and other regulatory standards. Serve as the primary point of contact for patient inquiries, providing clear and compassionate communication. Process insurance authorizations, billing information, and referrals, collaborating with insurance companies and billing departments. Prepare and distribute correspondence, reports, and other documentation as required by medical staff. Assist in the preparation of medical reports and ensure all documentation is complete and accurate. Coordinate office workflow and support the daily operations of the medical office or department.
