Job Description

Position Summary The Medical Secretary provides administrative and clinical support to the nursing and medical team in an assisted living facility. This role ensures accurate medical documentation, compliance with waiver requirements, effective communication, and daily operational support to promote high-quality resident care. Essential Duties and Responsibilities Administrative & Documentation
  • Maintain and update resident waiver documentation in accordance with state and regulatory requirements.
  • Upload, organize, and manage resident medical records in electronic and physical filing systems.
  • Ensure all medical files are accurate, current, and confidential.
  • Assist with audits, surveys, and regulatory requests related to medical documentation. Communication
  • Relay urgent clinical issues to the appropriate nurse, NP, or administrator.
  • Document all weekend on-call communications per facility policy. Clinical Support
  • Provide assistance with the medication cart under nursing supervision, in accordance with facility policy and scope of practice.
  • Support medication administration workflow by organizing supplies, refilling carts, and ensuring documentation readiness.
  • Assist the wound care nurse with preparation, documentation, and resident coordination.
  • Support the Nurse Practitioner while on-site by preparing charts, gathering records, and coordinating resident visits.
  • Transportation Collaboration & Compliance
  • Work closely with nursing staff, providers, and administrative leadership.
  • Maintain HIPAA compliance and confidentiality at all times.
  • Promote efficient workflow and resident-centered care. Qualifications Education & Experience
  • High school diploma or equivalent required
  • Certified Medical Assistant required
  • Experience in healthcare, assisted living, or long-term care preferred. Skills
  • Strong organizational and documentation skills.
  • Proficient in electronic medical records and basic computer applications.
  • Excellent communication and customer service skills.
  • Ability to multitask and work independently.
  • Knowledge of HIPAA and confidentiality standards.
Physical Requirements Ability to sit, stand, and walk throughout the facility. Ability to lift up to 25 pounds occasionally. Work Schedule Weekday administrative support with rotating or assigned weekend
