In this vital role, you will serve as the first point of contact for patients, providing exceptional customer service while managing a wide range of administrative and clinical support tasks. Your energetic approach and strong organizational skills will ensure smooth clinic operations, accurate documentation, and a welcoming environment for all visitors. The ideal candidate will possess excellent communication abilities, proficiency with electronic health record (EHR) systems, and a solid understanding of medical terminology and health insurance processes. Duties Greet patients warmly and efficiently manage check-in and check-out procedures using EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks Schedule patient appointments accurately, coordinate follow-up visits, and manage clinic calendars with precision Verify patient insurance information, process medical collections, and handle billing inquiries in accordance with HIPAA regulations Review and update medical records, ensuring proper documentation review and compliance with clinical confidentiality policies Assist with intake procedures including collecting patient information, updating health histories, and explaining clinic policies Manage multi-line phone systems with professional phone etiquette; answer inquiries promptly and direct calls appropriately Support medical coding activities by applying CPT codes, ICD-9/10 coding standards, and Medicare guidelines for accurate billing Maintain organized filing of medical records, test results, and correspondence while adhering to health information management standards Collaborate with clinical staff to prepare care plans and facilitate smooth patient flow throughout the clinic Perform clerical tasks such as data entry using Microsoft Office tools, typing reports quickly and accurately, and managing electronic health records Skills Proven experience in a medical office setting or clinic environment with strong administrative support skills Proficiency in EMR/EHR systems including Epic, Meditech, Athenahealth, or eClinicalWorks; familiarity with electronic health records management is essential Knowledge of health insurance processes including Medicare, Medicaid, HIPAA compliance, and medical billing procedures Strong understanding of medical terminology, CPT coding, ICD-9/10 coding standards for accurate documentation and billing Excellent customer service skills with the ability to communicate effectively via phone and in person; bilingual abilities are a plus Demonstrated ability to handle sensitive information confidentially in accordance with HIPAA regulations Strong computer skills including Microsoft Office Suite (Word, Excel) along with typing speed of at least 10 key strokes per second Ability to prioritize tasks efficiently in a fast-paced environment while maintaining attention to detail Experience working in dental clinics or other specialized healthcare settings is advantageous Familiarity with clinical confidentiality policies and health information management practices Join our team to make a meaningful difference in patients' lives!
