The ideal candidate will serve as the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role requires a strong understanding of dental office operations, dental billing, and electronic health record (EHR) systems. Bilingual abilities and clinic experience are highly valued to ensure seamless patient interactions and office workflow. Patient Experience Welcome patients, families, and visitors with professionalism and warmth. Provide exceptional customer service in person and over the phone. Maintain a positive and patient-centered experience from check-in through check-out. Address patient questions and concerns promptly and professionally. Scheduling & Front Office Operations Schedule, confirm, and reschedule patient appointments efficiently. Manage provider schedules to maximize productivity while minimizing gaps. Verify patient demographics and update records as needed. Coordinate referrals and specialty appointments when necessary. Maintain an organized reception area and front office. Phone Management Answer incoming calls promptly and professionally. Route calls appropriately and accurately document messages. Respond to voicemail messages in a timely manner. Manage high call volumes while maintaining excellent customer service. Insurance & Financial Responsibilities Verify dental insurance eligibility and benefits. Explain estimated patient financial responsibilities. Collect copayments, balances, and other patient payments. Process credit card and other payment transactions accurately. Assist patients with financing information when applicable. Administrative Responsibilities Scan and upload patient documents into the electronic dental record. Maintain accurate patient charts and documentation. Process incoming mail, faxes, and correspondence. Assist with reports and other administrative tasks as assigned. Team Collaboration Communicate effectively with dentists, hygienists, assistants, treatment coordinators, and administrative staff. Assist with maintaining efficient patient flow throughout the day. Participate in team meetings and training sessions. Support other front office responsibilities as needed. Qualifications High school diploma or equivalent required. Minimum of one year of front desk or customer service experience. Dental office experience preferred. Experience with dental practice management software (Open Dental preferred). Knowledge of dental insurance verification and scheduling preferred. Strong communication and interpersonal skills. Excellent organizational and multitasking abilities. Proficiency with Microsoft Office and general computer applications. Ability to maintain confidentiality in accordance with HIPAA requirements. Preferred Qualifications Experience working in a multi-provider or specialty dental practice. Experience with insurance verification, treatment scheduling, and patient financial collections. Physical Requirements Ability to sit, stand, and walk throughout the workday. Ability to lift up to 20 pounds occasionally. Ability to use a computer, telephone, copier, and other standard office equipment.
