Dental Front Desk / Patient Care Coordinator Natural Smiles of Manassas & Dynamic Family Dentistry Manassas & Falls Church, VA Job Summary Natural Smiles of Manassas and Dynamic Family Dentistry are seeking an experienced, motivated Dental Front Desk / Patient Care Coordinator to join our growing team. This is not simply a position for someone to answer phones and check patients in and out. We are looking for a self-starter who takes ownership, anticipates what needs to be done, and is motivated to make a meaningful difference in the success of the practice and the experience of our patients. The right candidate will be comfortable handling all aspects of running a thriving dental front office , including scheduling, patient communication, insurance verification, treatment coordination, collections, account management, recall/reactivation, and maintaining a productive schedule. Fluency in Spanish is required. Our practices are located in Manassas and Falls Church, Virginia . Reliable transportation is required, as occasional travel between locations may be necessary based on the needs of the practices. Experience with Open Dental software is strongly preferred. Key Responsibilities Provide an exceptional patient experience from the first phone call through check-out and follow-up. Answer incoming calls professionally and convert inquiries into scheduled appointments. Greet, check in, and check out patients efficiently and warmly. Maintain an organized, productive, and appropriately scheduled provider and hygiene schedule. Confirm appointments and proactively address openings, cancellations, and schedule changes. Work recall, reactivation, unscheduled treatment, and overdue patient lists to keep the schedule full. Make outbound calls and send appropriate follow-up communications to patients. Verify dental insurance eligibility, benefits, frequencies, limitations, deductibles, and remaining maximums. Maintain accurate insurance and patient information in Open Dental . Present treatment plans clearly and confidently and help patients understand their next steps. Discuss treatment costs, insurance estimates, payment expectations, and available financial options. Follow up consistently with patients who have unscheduled treatment. Collect patient portions, co-pays, deductibles, outstanding balances, and other amounts due. Post payments accurately and assist with maintaining clean and accurate patient accounts. Assist with insurance claims, claim follow-up, attachments, outstanding insurance balances, and billing questions as needed. Coordinate referrals, specialist communication, lab cases, and patient records when applicable. Maintain accurate documentation of patient communications and account activity. Protect patient confidentiality and follow HIPAA requirements at all times. Communicate effectively with doctors, hygienists, assistants, and leadership to keep the practice running efficiently. Identify problems, take initiative, and help develop solutions rather than waiting to be directed. Assist with additional front-office and practice-management responsibilities as needed. Qualifications Fluent Spanish and English required. Previous dental front-office experience strongly preferred. Open Dental experience preferred. Reliable transportation and ability to travel between the Manassas and Falls Church locations when necessary. Strong understanding of dental scheduling, insurance, treatment plans, collections, and patient account management. Excellent phone, written, and in-person communication skills. Strong organizational skills with the ability to manage multiple priorities in a busy dental practice. Comfortable discussing treatment costs and financial arrangements with patients. Dependable, punctual, professional, and accountable. Strong attention to detail and commitment to accurate documentation. Positive, team-oriented attitude with excellent problem-solving skills. Must be a self-starter who sees what needs to be done and takes action. Must be motivated by helping patients receive needed care and contributing to the growth and success of the practice.
