Full-Time Administrative Assistant Well Life Counseling and Consulting, LLC Perry Hall / Nottingham, MD Well Life Counseling and Consulting, LLC is an established, multidisciplinary behavioral health practice seeking a Full-Time Administrative Assistant for our welcoming and professional office in Perry Hall/Nottingham, Maryland. ⚠Schedule Requirement This position requires daytime availability five days per week (Monday-Friday) , with shifts beginning at 8:00 AM . Position Overview We are seeking a warm, personable, and reliable individual to support our clinical staff and clients. Our practice prioritizes a calm, welcoming, and respectful environment, making strong communication skills, teamwork, and professionalism essential. Primary Responsibilities Greet clients and maintain a welcoming front office environment Check in clients and collect payments Answer, screen, and triage phone calls and emails Schedule intakes and follow-up appointments Create, maintain, scan, and file client medical records Utilize and assist with maintenance of the Electronic Medical Record (EMR) system Assist with insurance verification and follow-ups Maintain charts and office systems for secure and efficient functioning Assist with billing processes and mailings Respond to requests from providers, clients, and staff in a professional and timely manner Communicate critical information to staff promptly Obtain, protect, and maintain confidentiality of PHI (Patient Health Information) Work with insurance companies regarding benefits, claims, and follow-up issues Open and close the office as required Coordinate with staff to ensure adequate office supplies Perform light cleaning duties and empty trash during each shift Qualifications & Skills Minimum of 2 years of medical front office experience preferred (behavioral health or medication management strongly preferred) Excellent phone etiquette and experience with multi-line phone systems Experience with insurance verification, authorizations, and eligibility checks Proficiency with EMR systems and computer programs including Windows, Microsoft Word, Excel, Adobe Acrobat, and Google Docs/Sheets Ability to operate office equipment (scanner, fax machine, printers, including toner replacement) Experience calculating and collecting co-pays, co-insurance, and deductibles; accurately posting payments Professional, compassionate demeanor with respect for clients and clinicians Strong team player able to work well with diverse personalities and accept feedback Highly organized, detail-oriented, and dependable Excellent communication and customer service skills Additional Requirements Must successfully pass a criminal background check and drug screening
