Job Description

Administrative Assistant - Mental Health We are seeking a friendly, organized, and detail-oriented Administrative Assistant to support the day-to-day operations of a busy mental health private practice. The ideal candidate is comfortable working with the public, managing multiple priorities, handling a multi-line phone system, and maintaining accurate client and scheduling information. We are seeking a trustworthy, positive person to give our clients and staff a wonderful experience. Schedule - Monday-Friday 7:30 AM to 4:30 PM This role requires being onsite/in-person Responsibilities Greet and assist clients, answer a multi-line phone system, schedule appointments, collect payments, and provide general support. Complete client intakes, gather insurance benefits, assign clients to appropriate therapists, and schedule initial appointments. Manage schedules for 12+ providers across two locations. Enter and maintain client information, type correspondence and forms, and ensure records are accurate and up to date. Compile weekly and monthly reports and maintain data in Excel spreadsheets. Assist with record requests, insurance billing, accounts receivable, payment posting, and follow-up on outstanding balances. Perform additional administrative duties as needed to support the smooth operation of the practice. Qualifications Friendly, courteous, and professional demeanor Strong communication and customer service skills Comfortable interacting with clients and the public Strong typing and data-entry skills Excellent attention to detail and accuracy Ability to learn and efficiently operate a multi-line phone system Strong organizational and multitasking abilities Proficiency with general computer systems Previous administrative, medical office, behavioral health, or healthcare experience is a plus Compensation - $17-$20 per hour based on experience
