Home Care Administrator Position Summary The Home Care Office Assistant / CNA-HHA provides administrative and operational support to the Waterman Village Home Care team while also serving as a Certified Nursing Assistant (CNA) or Home Health Aide (HHA) when field coverage is needed. This position is primarily office-based and plays an important role in maintaining communication between patients, families, clinical staff, physician offices, and other healthcare providers. During regular business hours, the employee may also be assigned to provide CNA/HHA services to patients when needed to assist with scheduling needs, call-outs, or other coverage needs. The ideal candidate is organized, dependable, professional, comfortable communicating with healthcare providers and residents, and willing to transition between administrative and direct-care responsibilities as needed. Essential Duties & Responsibilities Office & Administrative Support Answer incoming Home Care telephone calls and appropriately route messages and requests. Provide professional and courteous communication with patients, residents, families, staff, physician offices, and community partners. Contact physician offices regarding orders, signatures, documentation, and other patient-related communication as directed. Assist with obtaining and following up on required physician orders and documentation. Receive, organize, scan, fax, and distribute documents as needed. Assist with maintaining accurate patient and administrative records. Assist with filing, data entry, copying, faxing, and other general office duties. Communicate messages and updates to appropriate clinical or administrative team members. Assist with scheduling and coordination of patient services as assigned. Support the Home Care Administrator and clinical team with day-to-day office operations. Maintain patient confidentiality and follow HIPAA requirements at all times. Assist with other administrative responsibilities as assigned. CNA/HHA Field Coverage Provide CNA/HHA patient care during regular business hours when coverage is needed. Assist with coverage related to staff call-outs, scheduling gaps, increased patient needs, or other operational needs. Provide personal care and assistance with activities of daily living within the employee's scope of practice and according to the patient's plan of care. Assist patients with bathing, dressing, grooming, toileting, mobility, transfers, and other approved personal care needs. Observe and promptly report changes in a patient's condition to the appropriate clinical staff. Document care provided accurately and according to agency requirements. Maintain patient dignity, privacy, safety, and independence while providing care. Follow infection-control, safety, and emergency procedures. Travel to patient homes or locations as assigned during scheduled working hours. Qualifications Current Florida CNA certification or documentation of HHA qualifications meeting applicable Home Health requirements. Previous CNA/HHA or home care experience preferred. Previous medical office, healthcare administrative, or clerical experience preferred. Strong telephone and customer-service skills. Comfortable communicating with physician offices and other healthcare providers. Strong organizational skills with the ability to manage multiple priorities. Basic computer skills and ability to learn electronic medical record and scheduling systems. Ability to communicate professionally and compassionately with older adults, families, and healthcare professionals. Must be dependable, flexible, and willing to assist both in the office and in the field. Valid driver's license and reliable transportation as required for field assignments. Must meet all applicable Home Health employment, background screening, health, and training requirements.
Schedule Full-Time:
Monday-Friday, 8:00 AM-4:30 PM This position is designed to provide consistent weekday administrative support to the Home Care office while also providing CNA/HHA field coverage during scheduled business hours as operational needs arise.
