Job Description

Scheduling and Office Administrator Summary:
The Home Care Agency Scheduler is responsible for coordinating and managing the schedules of caregivers which includes those employed as a Homemaker/Companion (H/C) and those employed as a Certified Nursing Assistant (CNA) or a Home Health Aide (HHA). This role ensures that clients receive timely and appropriate care while optimizing the availability and efficiency of the caregiving staff. The Scheduler acts as a liaison between clients, caregivers, and the agency, providing excellent customer service and resolving scheduling conflicts promptly. Scheduling will be the primary responsibility, but Office Administrative work will also be needed based on employees' skills and abilities and day to day work flow.
Key Responsibilities:
Scheduling and Coordination:
Ÿ Develop and maintain schedules for homemaker/companion staff as well as CNA and HHA staff ensuring optimal coverage for all clients. Ÿ Adjust schedules as needed to accommodate changes in client needs, caregiver availability, and emergency situations. Ÿ Coordinate caregiver assignments based on client requirements, caregiver skills, and geographic proximity.
Client and Caregiver Communication:
Ÿ Communicate schedule changes and updates to clients and caregivers in a timely manner. Ÿ Address and resolve client and caregiver inquiries and concerns regarding schedules. Ÿ Maintain regular contact with clients to assess satisfaction and make necessary adjustments to care needs.
Record Keeping and Documentation:
Ÿ Maintain accurate and up-to-date records of caregiver assignments, client preferences, and care needs. Ÿ Document all scheduling activities, changes, and communications in the agency's scheduling software.
Compliance and Quality Assurance:
Ÿ Ensure schedules comply with all relevant regulations, policies, and quality standards. Ÿ Monitor caregiver punctuality and attendance, addressing issues as they arise. Ÿ Participate in quality assurance activities and assist with audits as required.
Team Collaboration:
Ÿ Work closely with the agency's management team, nursing staff, and human resources to ensure seamless service delivery. Ÿ Participate in team meetings and provide input on process improvements and operational efficiencies.
Qualifications:
Ÿ
Education:
High school diploma or equivalent; associate or bachelor's degree in healthcare administration or a related field is preferred. Ÿ
Experience:
Previous experience in scheduling, healthcare administration, or a related field; experience in home care or a healthcare setting is highly desirable. Ÿ
Technical Skills:
Proficiency in scheduling software, and MS Office Suite (Word, Excel, Outlook). Ÿ
Communication Skills:
Excellent verbal and written communication skills; ability to interact effectively with clients, caregivers, and team members. Ÿ
Organizational Skills:
Strong organizational and time-management skills; ability to manage multiple tasks and prioritize effectively. Ÿ
Critical Thinking Skills:
Ability to resolve conflicts and scheduling issues quickly and efficiently. Ÿ
Customer Service:
Strong customer service orientation with a commitment to providing high-quality care.
