POSITION SUMMARY
This position provides administrative and programmatic support to Helix's Community and Transitional Housing programs. The role is responsible for managing and distributing pooled funds, monitoring and tracking pooled fund expenditures in QuickBooks, and supporting program participants with select case management needs. The position will also develop, implement, and maintain the pooled funds request and approval process; provide training and ongoing support to new staff and community partners regarding Housing Support processes; and assist with Housing Support compliance, documentation, reporting, and overall program administration. The position requires strong organizational skills, attention to detail, sound judgment, and the ability to effectively collaborate with case managers, program staff, community partners, and leadership to ensure housing-related resources are administered accurately, efficiently, and in accordance with program requirements.
ESSENTIAL DUTIES & RESPONSIBILITIES
Pooled Funds Management Manage the day-to-day administration and distribution of pooled funds for eligible program participants. Review, process, and track pooled fund requests in accordance with Helix policies, program requirements, and established approval procedures. Maintain accurate and up-to-date records of pooled fund requests, approvals, purchases, and distributions. Monitor pooled fund balances and expenditures to ensure funds are used appropriately and within established budgets. Enter and reconcile pooled fund transactions in QuickBooks and maintain supporting documentation. Identify discrepancies, missing documentation, or concerns related to pooled fund expenditures and communicate them to appropriate staff or leadership. Develop, maintain, and continuously improve the pooled funds request and approval process to promote consistency, accountability, and timely service delivery. Coordinate with case managers and program staff to ensure participant needs are addressed through available pooled fund resources. Housing Support Administration Provide administrative support to Helix Community and Transitional Housing programs. Assist with Housing Support program processes, documentation, data tracking, and administrative requirements. Maintain organized and accurate program records in accordance with Helix policies, funding requirements, and applicable regulations. Support the collection, review, and organization of documentation needed for Housing Support compliance and program monitoring. Assist with identifying missing, incomplete, or inaccurate documentation and follow up with staff to ensure timely completion. Support internal audits, program reviews, and compliance activities as requested. Assist with developing and maintaining Housing Support forms, procedures, tracking tools, and other administrative resources. Compliance and Quality Assurance Support ongoing compliance with Housing Support program requirements, Helix policies, funding requirements, and applicable regulations. Monitor administrative processes for accuracy, timeliness, and compliance. Assist with quality assurance activities, including record reviews, tracking, reporting, and corrective follow-up. Maintain accurate documentation and ensure records are completed and stored according to Helix standards. Communicate compliance concerns or potential issues promptly to supervisors and program leadership. Participate in staff meetings, program meetings, trainings, and other organizational activities as required. General Responsibilities Collaborate effectively with Housing, Community, Transitional Housing, Finance, and other Helix teams. Maintain professional and respectful relationships with participants, coworkers, community partners, and other stakeholders. Demonstrate strong organization, attention to detail, follow-through, and accountability. Protect confidential participant and organizational information at all times. Perform other related duties and responsibilities as assigned by leadership.
KNOWLEDGE
Housing - Knowledge of Housing Support (formerly known as GRH) and best practices in a community-based setting. Finances - Knowledge of principles and methods for managing Housing Support funds and documentation in Quickbooks and Procentive.
QUALIFICATIONS
Bachelor's Degree in a health and human services field; OR Associate's degree in a health and human services field; OR One year of experience with target population served; OR Experience and a certified peer specialist. Valid driver's license and insurance for travel between sites and other business-related destinations Must be able to pass a Netstudy 2.0 PHYSICAL

Ability to safely operate a motor vehicle and travel between Helix locations and other designated sites as required. The position involves transporting and delivering materials, supplies, equipment, and/or other work-related items between locations.

Adequate physical ability to move freely within the workspace and perform assigned duties safely and efficiently.
