The Ophthalmology Office Manager is responsible for the efficient and effective management of daily operations within an ophthalmology practice. This includes overseeing administrative and clinical support staff, optimizing patient flow, ensuring compliance with healthcare regulations, and delivering high-quality patient experiences. The manager will also ensure the smooth coordination of eye exams, surgical scheduling, optical services, and diagnostic testing.Key Responsibilities:
Administrative & Operational Management:
Oversee daily operations of the ophthalmology office including front desk, billing, technicians, and optical services. Manage appointment scheduling systems to optimize patient flow and provider productivity. Coordinate pre-op and post-op scheduling, including cataract, LASIK, and retina surgeries. Maintain up-to-date knowledge of ophthalmic procedures, diagnostic tests, and surgical workflows. Ensure compliance with HIPAA, OSHA, and all relevant regulatory bodies. Manage inventory of optical frames, contact lenses, and diagnostic equipment supplies.Staff Leadership & Supervision:
Hire, train, and supervise administrative and clinical staff including ophthalmic technicians, scribes, receptionists, and billing personnel. Ensure staff are trained on ophthalmic terminology, equipment usage, and EMR documentation standards. Conduct regular performance reviews and staff development meetings. Develop and maintain staff schedules, ensuring adequate coverage and productivity.Financial Oversight:
Oversee billing and coding processes related to ophthalmology, including Medicare, private insurance Work with billers to reduce denials, monitor collections, and manage accounts receivable and balances Assist in preparing budgets, monitoring expenses, and maximizing practice profitability.Patient Relations:
Ensure smooth check-in/check-out process and reduce patient wait times. Resolve patient complaints or service issues promptly and professionally. Implement strategies to improve patient satisfaction, retention, and referral rates.Technology & EMR Management:
Manage and train staff on ophthalmology-specific EHR/EMR systems Ensure accurate documentation of visual acuity, refractions, diagnostic testing (OCT, visual fields, etc.), and surgical planning.Compliance & Risk Management:
Maintain compliance with ophthalmology-specific regulatory guidelines (e.g., sterile technique for injections, surgical safety protocols). Coordinate audits, inspections, and quality control measures. Ensure appropriate credentialing and licensing for all providers.Qualifications:
Education:
2 years experience as supervisor or manager andEXPERIENCE
managing other employees Associate or Bachelor's degree in Healthcare Administration, Business Administration, or related field Certification in Medical Office Management or Ophthalmic Practice Management (e.g., JCAHPO, AAOE) preferred.Experience:
2 years of experience in medical office management, ideally some experience in ophthalmology Experience managing surgical scheduling, diagnostic testing, and optical services preferred.Skills:
SPANISH SPEAKING IS A
MUST, Strong leadership, communication, and problem-solving skills. Familiarity with ophthalmic terminology, billing codes (e.g., 92014, 99214, etc.), and vision/medical insurance. Proficiency in ophthalmology-specific EHRs and practice management software.FLUENT IN
SPANISH, good customer service skillsWorking Conditions:
Full-time, typically Monday-Friday, with occasional extended hours or weekend clinics. Office and clinical environment with potential exposure to ophthalmic instruments and lasers. Requires standing, walking, and some lifting of optical or diagnostic equipment.Job Type:
