Lead Technician Position Summary The Refill Technician is responsible for coordinating and managing the refill process for all home infusion patients, which include specialty, acute, nutritional, chronic, and other therapies accepted by Vital Care. This position serves as a central point of communication between patients, pharmacists, nurses, providers, and internal departments to ensure continuity of therapy, timely medication deliveries, and accurate patient documentation. The Refill Technician maintains patient records, supports prescription processing, and manages workflow activities necessary to provide high-quality patient care. Essential Functions Patient Refill Coordination Contact patients to schedule medication refills, deliveries, and assess ongoing patient care. Complete refill assessments, document patient responses accurately, and documentation within patient profile. Identify and communicate potential therapy concerns, supply needs, or changes in patient status to the appropriate clinical personnel. Ensure refill activities are completed in accordance with company policies and regulatory requirements. Prescription Processing Verify the availability, validity, and proper documentation of prescriptions prior to refill processing. Prepare refill prescriptions in accordance to company policies and regulatory requirements. Print and organize prescription documentation, including delivery tickets. Assist in maintaining accurate and complete prescription records. Patient Profile Management Build and maintain complete patient profiles within CareTend. Enter and update demographic information, medication profiles, care plans, outcomes documentation, medication history, nursing information, and catheter-related information. Ensure all patient records remain accurate, current, and compliant with company standards. Delivery Coordination Create and print delivery tickets for scheduled medication and supply deliveries. Coordinate with pharmacy, warehouse, nursing, and delivery personnel to facilitate timely patient service. Verify required documentation is completed prior to scheduled deliveries. Provider and Documentation Follow-Up Monitor outstanding documentation requirements, including Detailed Written Orders (DWOs) and other provider-required documentation. Communicate with physician offices and other healthcare providers to obtain required documentation as necessary. Track and follow up on outstanding requests to ensure timely completion. Nursing Coordination Coordinate nursing scheduling and service initiation for new specialty and acute patients as necessary. Communicate patient start-of-care information to nursing personnel as needed. Maintain documentation related to nursing coordination activities. Workflow and Task Management Maintain and update the Command Board to ensure accurate workflow visibility. Create, monitor, and complete, To Do items within established timeframes. Prioritize workload to support efficient pharmacy operations and patient care activities. Assist with pharmacy refill workflow monitoring and issue resolution. Compliance and Quality Maintain patient confidentiality in accordance with HIPAA regulations and company policies. Follow all applicable state, federal, accreditation, and company requirements. Participate in quality improvement initiatives and operational process enhancements as assigned. Perform additional duties and responsibilities as assigned by leadership. Knowledge, Skills, and Abilities Knowledge of pharmacy workflow and prescription processing. Understanding of home infusion and specialty pharmacy operations preferred. Strong organizational and time-management skills. Ability to manage multiple priorities simultaneously. Strong verbal and written communication skills. Attention to detail and commitment to accuracy. Ability to work independently and collaboratively within a multidisciplinary healthcare team. Proficiency with pharmacy software systems, electronic medical records, and standard Microsoft 365 applications. Minimum Qualifications High school diploma or equivalent. Current Pharmacy Technician registration or licensure as required by state regulations. Ability to maintain confidentiality of protected health information. Basic computer proficiency. Preferred Qualifications Certified Pharmacy Technician (CPhT). Previous experience in home infusion, specialty pharmacy, hospital pharmacy, or other healthcare operations. Experience working with patient coordination, physician offices, and prescription documentation requirements. Working Conditions Work is primarily performed in a(n) home, office, and/or pharmacy environment. The position requires frequent telephone communication, computer use, data entry, and coordination with patients, providers, nurses, and other pharmacy personnel.Benefits:
