Job Description

CNS Clerical Support Macon County Health Department | Decatur, Illinois Full-Time | 35 Hours per Week | $17.53 per Hour Help Keep Clinical Services Organized, Accurate, and Patient-Focused. Are you organized, dependable, and comfortable balancing customer service with detailed medical clerical work? The Macon County Health Department is seeking a CNS Clerical Support team member to provide high-level clerical support and data entry for our Clinical Nursing Services Division. In this role, you'll support clinic operations through patient check-in and scheduling, health and immunization record entry, vaccine inventory and accountability, medical records, billing support, and professional customer service. This position plays an important role in helping our clinical team serve the community efficiently and respectfully. What You'll Do Enter health and immunization records from Immunization Clinics into I-CARE and use the Electronic Health Record (EHR) effectively to enter and retrieve information. Answer Clinical Nursing Services and general MCHD phone calls professionally, provide general information and referrals, take messages, and direct medical questions to nursing staff. Provide courteous, respectful, and customer-friendly service to individuals from diverse backgrounds during both in-person and telephone interactions. Perform clinic check-in and scheduling for clinics and complete cashier duties as assigned. Perform clerical tasks including data entry, filing, copying records, maintaining and ordering forms, and providing clerical support to CNS staff. Process requests for medical records and assist the Billing Specialist with Medicaid billing. Learn and use new programs as implemented, including electronic medical record and billing systems. Assist CNS nurses with immunization follow-up and complete outreach activities as directed. Prepare accurate monthly immunization totals for CNS leadership by established deadlines. Conduct vaccine inventory and accountability, monitor and correct I-CARE inventory discrepancies, and provide weekly VFC and Private vaccine counts. Receive vaccine and supply shipments, verify accuracy, stock vaccine refrigerators appropriately, and promptly notify CNS leadership of vaccine deliveries. Complete data logger readings twice daily and enter required information into I-CARE for the Vaccines for Children (VFC) Program. Attend conferences, workshops, and training sessions as directed and perform other duties assigned by CNS leadership. What We're Looking For Required Qualifications High School Diploma or GED and at least two (2) years of office experience; medical office experience is preferred. Experience working with families and the ability to work effectively with diverse community groups. Strong communication, telephone, organizational, and customer-service skills. Knowledge of general office procedures and equipment, along with basic computer skills; ability to type 40 words per minute preferred. Ability to multitask and work effectively under stress while maintaining a professional, pleasant, and service-minded approach. Ability to maintain strict confidentiality and protect client information at all times. Requirements Because this position supports clinical operations and may require work-related travel, applicants must have: Ability to work flexible hours as needed, including evenings and/or weekends. Ability to work with diverse community groups. A dependable vehicle available for use during work hours, a valid Illinois Driver's License, and appropriate automobile insurance. Physical ability to meet the demands of the job, including bending, squatting, and lifting up to 25 pounds. Ability to successfully complete an Alcohol/Drug Screen, Criminal Background Check, and Motor Vehicle Record Check. Ability to comply with MCHD confidentiality, HIPAA, mandated reporter, personnel, and emergency-response requirements.
