Job Description

Position Summary Freedom Injury Network is seeking a professional, compassionate, and highly organized Intake Specialist to serve as the first point of contact for patients, referral sources, attorneys, and case managers. The Intake Specialist plays a critical role in coordinating new patient intake, scheduling appointments, verifying patient information, and ensuring a seamless onboarding experience for individuals receiving treatment following motor vehicle accidents and other personal injury-related cases. Essential Duties & Responsibilities Answer incoming calls and respond to patient inquiries in a professional and timely manner. Complete new patient intake interviews and accurately enter information into the electronic medical record (EMR) system. Schedule initial evaluations and follow-up appointments across Freedom Injury Network locations. Obtain and verify demographic, insurance, attorney, employer, and accident-related information. Coordinate referrals from attorneys, case managers, insurance companies, and healthcare providers. Collect and upload medical records, accident reports, imaging reports, and related documentation. Communicate with patients regarding appointment confirmations, reminders, transportation needs, and treatment coordination. Maintain accurate patient records and ensure compliance with privacy regulations and company policies. Assist with obtaining authorizations and coordinating care among providers within the network. Track referral sources and maintain intake metrics to support operational reporting. Collaborate with clinical, billing, and case management teams to ensure continuity of care. Perform other administrative duties as assigned. Qualifications High school diploma or GED required. Minimum of 1 year of experience in medical intake, patient scheduling, customer service, medical office administration, or healthcare coordination preferred. Experience with personal injury, workers' compensation, orthopedic, chiropractic, pain management, or rehabilitation practices is preferred. Strong computer skills with proficiency in Microsoft Office and electronic medical record systems. Excellent verbal and written communication skills. Ability to manage multiple priorities in a fast-paced environment. Strong attention to detail and organizational skills. Bilingual English/Spanish preferred but not required. Knowledge, Skills & Abilities Strong customer service and patient relations skills. Ability to handle sensitive and confidential information. Effective problem-solving and critical-thinking abilities. Professional demeanor and positive attitude. Ability to work independently and as part of a multidisciplinary team. Physical Requirements Prolonged periods of sitting and working at a computer. Frequent telephone communication. Ability to occasionally lift up to 20 pounds. $20.00 - $22.00 per hour
