Day Shift - 5x8 hours (08:30 AM - 5:00 PM) + weekends required

Job Summary:

The Patient Registration Representative is responsible for accurately registering patients, verifying insurance eligibility, obtaining required documentation, collecting patient payments, and delivering exceptional customer service. This position ensures compliance with hospital policies, HIPAA regulations, and departmental productivity standards while maintaining a professional and patient-focused environment.

Ability to multitask in a fast-paced healthcare environment.

Strong analytical and problem-solving abilities.

Strong computer navigation skills with the ability to work across multiple applications.

Typing speed of 45+ words per minute.

Knowledge of medical terminology (preferred).

Understanding of health insurance plans, eligibility verification, and billing.

Strict adherence to HIPAA privacy and confidentiality requirements.

Ability to travel to off-site locations when required (Outpatient departments).

Education/Experience/Training:

One year experience in a high-volume healthcare facility or medical office setting with strong computer and customer service experience required High school graduate required or equivalent, evidence of continuing education preferred.

Medical terminology strongly preferred Insurance and billing experience strongly required Driver's License; ability to travel to off-site locations (Outpatient only)

Bilingual Spanish or Chinese (Mandarin) preferred Duties and responsibilities: 1. HIPAA Compliance & Patient Confidentiality Safeguards and preserves the confidentiality of patients' Protected Health Information (PHI) in accordance with State and Federal HIPAA regulatory requirements, hospital policies, and departmental procedures.

Maintains confidentiality at all times. 2. Patient Safety & Compliance Ensures a safe patient environment and adherence to safety practices according to policy.

Utilizes approved processes, considering patient age and individual needs, to address biophysical, psychological, educational, and environmental needs of the patient and/or significant other as required. 3. Guest Relations & Customer Service Exhibits positive guest relations by providing a welcoming and professional experience to patients, physicians, coworkers, and visitors.

Warmly greets patients and visitors by name when possible and introduces self by name.

Uses the phrase, "How can I help you?" as the first line of communication.

Anticipates patient concerns and provides clear explanations of the interview and registration process.

Utilizes translators or the Stratus translation system when necessary to ensure patients fully understand the information being discussed.

Demonstrates teamwork by considering the impact of decisions, actions, and behaviors on others.

Works collaboratively with eligibility vendors to create a positive relationship and ensure a smooth process for patients.

Responds to others in a constructive and non-defensive manner.

Maintains a professional appearance at all times by following uniform and department dress code requirements.

Answers telephone calls by the third ring and states: "______ department, this is ______, and how can I help you?" Communicates clearly, actively listens, and follows appropriate communication channels.

Provides full disclosure to patients when beginning the interview and screening process for Hospital Presumptive Eligibility (HPE) and/or Uncompensated Care applications to ensure understanding of the process. 4. Organizational Skills & Efficiency Solves problems without compromising patient needs.

Sets priorities, adapts to changes, and organizes work activities in a logical and timely manner.

Demonstrates consistent performance, productivity, and accuracy.

Files orders correctly, places files appropriately, and completes scanning processes as required.

Follows all departmental procedures and instructions provided by management.

Uses time effectively to complete pre-registration for scheduled patients according to policy.

Prepares required paperwork, orders, labels, and forms for signatures to expedite the registration process upon patient arrival.

Seeks out additional work when available (such as pre-registration activities) and communicates availability to the supervisor.

Completes all assigned procedures during the shift without compromising quality of work.

Limits personal phone calls to breaks and lunch periods and remains away from personal phone use while at the workstation.

Emergency:
Productivity:

Completes a minimum of 20 registrations but strives for up to 30+ registrations per 8-hour shift, which includes scanning documents, insurance verification, and securing upfront collections.

Registration Process:

Verifies patients are appropriately medically screened and stabilized before Consent of Admissions (COA) is signed/discussed and/or liability is requested.

Ensures no patients leave the Emergency Department without registration being completed.

Registers all patients who present in a timely manner.

Ensures full registration is completed, including obtaining the COA signature, within 30 minutes once the patient has been medically screened by the provider. Hospital Presumptive Eligibility (HPE) &

Uncompensated Care:

When necessary, the Registration Representative will begin the interview and screening process for Hospital Presumptive Eligibility (HPE) for uninsured patients presenting to the Emergency Department.

Evaluates patients within established guidelines to assist in identifying qualification for the HPE program.

Follows M/Cal guidelines and regulatory requirements to obtain the most accurate information needed to complete the application process.

Ensures all insurance, demographic, and eligibility information is obtained and entered accurately into the system.

Notifies the appropriate eligibility worker as required.

If the patient does not qualify for HPE, the clerk will pre-screen the patient for the hospital's Uncompensated Care Program based on financial income and family size.

If the patient qualifies for the program, the Registrar will complete the application process with the patient, scan documentation accordingly, and submit the original application to the Business Office for the approval process.

Registration Clerk will document the entire process in MS4 to notify Business Office staff of the outcome and status of the patient

Admitting/Outpatient Departments:
Productivity:

Completes a minimum of 20 registrations but strives for up to 30+ registrations per 8-hour shift or 35 pre-registrations per 8-hour shift.

Completes full pre-registrations for scheduled patients within 2 business days of being scheduled or when the patient presents in the department for pre-registration.

Ensures all scheduled patients have the full pre-registration process completed, which includes:

Issuing estimates on all accounts.

Securing copay/liability over the phone when applicable or no later than the day prior to procedures.

Admitting:

Responsible for identifying and capturing all Self-Pay accounts from the Emergency Department to begin the interview and screening process for Hospital Presumptive Eligibility (HPE) and/or Uncompensated Care Program.

Registers all patients who present in a timely manner.

Ensures all patients are registered within 15 minutes of arriving for service.

If there is a delay beyond the required timeframe, management must be contacted for assistance.

Front Desk Clerk/OB/Inpatient Admitting:

Completes a minimum of 15 registrations but strives for up to 30+ registrations per 8-hour shift.

Responsibilities include:

Scanning documents.

Verifying eligibility.

Completing front-end collections.

Processing required applications.

Accurate order entry.

OB Admitting:

Schedules all OB procedures, including C-Sections, Pre-op, Inductions, and other related procedures, in the Enterprise Scheduling System.
