Job Description

Job Summary We are seeking a proactive and detail-oriented Intake Coordinator to join our home medical equipment (DME/HME) team. As the first point of contact for new patient referrals, you will process orders from physicians, hospitals, and health plans, verify insurance coverage, and coordinate with our billing and delivery teams to ensure patients receive their equipment quickly and in full compliance with payer requirements. Responsibilities Receive and process new patient referrals from physician offices, hospitals, discharge planners, and case managers via phone, fax, and email Collect and verify patient demographics, insurance information, and medical documentation Verify insurance eligibility and benefits (Medicare, Medi-Cal, and managed care/IPA plans) and obtain prior authorizations as required Review prescriptions, standard written orders (SWO), and chart notes to ensure documentation meets Medicare and payer guidelines before dispensing Enter orders accurately into our practice management system and maintain complete, well-organized patient files Coordinate equipment delivery and setup schedules with our operations team Make phone calls and communicate directly with patients regarding order status, missing documentation, and coverage questions Communicate with referral sources (physician offices, case managers) via phone, fax, and email Willing to go out of the office when needed (document pickup, visits to physician offices, occasional delivery support) Support the billing team by ensuring clean, complete intake documentation and managing referrals and records updates Maintain strict HIPAA compliance and handle sensitive patient information discreetly Requirements No experience required — we will provide on-the-job training Fluent Vietnamese and Mandarin required Healthcare, DME/HME, or Brightree software experience is a plus (not required) Comfortable making phone calls and communicating with patients, physician offices, and insurance companies Willing to go out of the office when work requires Excellent organizational skills, clear communication, and a compassionate, patient-focused attitude Able to handle patient information discreetly and follow HIPAA guidelines (training provided) Benefits & Growth Join a growing, accredited home medical equipment company dedicated to compassionate service.
