Gulf Coast PainCare is a growing boutique, physician-owned Pain Management & Regenerative Medicine practice looking for an exceptional Medical Office Assistant to join our team. Our practice provides advanced, minimally invasive and regenerative treatments, including interventional pain procedures, laser therapy, shockwave therapy, PRP, and other innovative treatment options. This is an opportunity for an experienced medical front-office professional who wants to be valued, trusted, challenged, and recognized for doing excellent work. This is NOT a basic front-desk job. What You'll Be Responsible For Patient Experience You will be one of the first faces—and voices—patients encounter.

You'll:

Welcome patients warmly and professionally Create a calm, positive reception experience Check patients in and out accurately Answer and manage multiple phone lines Handle inbound and outbound patient calls Schedule and coordinate appointments Confirm appointments and follow up with patients Communicate with patients by phone, text, email, and in person Respond appropriately to patient questions and concerns De-escalate difficult situations professionally Maintain patient confidentiality and HIPAA compliance Insurance & Front-Office Operations You will need to understand that great patient service also requires great administrative execution.

Responsibilities include:

Verify commercial insurance eligibility and benefits Understand deductibles, copays, coinsurance, and out-of-pocket maximums Work with commercial insurance plans Verify and process information related to workers' compensation and PIP Identify insurance issues before appointments whenever possible Collect copays and patient balances Maintain accurate demographic and insurance information Coordinate with clinical and billing staff Help prevent avoidable scheduling, authorization, and billing issues Follow office workflows while identifying opportunities for improvement Technology is your friend Our ideal candidate is very comfortable with technology.

Strong preference for:

eClinicalWorks (eCW) experience Cloud-based medical applications Electronic insurance portals Microsoft Office / Google Workspace Electronic scheduling and communication systems Texting platforms Digital document management You should be able to move between multiple applications without becoming overwhelmed. Communication Skills Matter You will communicate with patients and colleagues throughout the entire day. You must be able to communicate professionally through: Speaking Telephone Text Email Electronic Messages Written Documents You should be able to write a professional email, create a clear document, document a patient interaction accurately, and communicate information verbally without confusion. Excellent communication isn't optional in this position. Experience & Qualifications Required Minimum 3 years of medical front-office experience Experience in a small medical practice Independent/private-practice experience strongly preferred Proven experience with: Scheduling Insurance verification Commercial insurance Workers' compensation PIP Patient check-in/check-out Inbound/outbound calls Patient follow-up Patient communication Strong computer skills Excellent verbal and written communication Strong organizational skills Excellent attention to detail Reliable attendance and punctuality Ability to work independently and collaboratively Strongly Preferred eClinicalWorks experience Pain Management experience Regenerative Medicine experience Orthopedics Neurology PM&R Spine Workers' compensation experience PIP experience Insurance portal experience CMA, CCMA, RMA, LPN, or other medical credential Experience in a physician-owned private practice We Value Initiative You should be comfortable answering questions such as: "What can I take care of right now?" rather than: "What am I supposed to be doing?"
