Position Summary The Medical Office Coordinator provides administrative and operational support across Vericel s Medical Office, including Medical Affairs and Clinical Operations, helping ensure programs, clinical study activities, agreements, grants, purchasing, payments, meetings, and other key activities are effectively coordinated and executed. This is a hands-on role for a highly organized and proactive individual who can independently manage assigned activities, navigate cross-functional processes, maintain accurate documentation and trackers, and drive work from initiation through completion. The position will also provide Clinical Trial Assistant-level support for Vericel-sponsored clinical studies, creating additional internal capability within Clinical Operations. Working regularly with Medical Affairs, Clinical Operations, Legal, Finance, Procurement, Accounts Payable, study vendors, and other partners, this individual will play an important role in improving the efficiency and effectiveness of Medical Office operations.
Schedule:
This position is in-office from Monday - Thursday in our new Burlington, MA location, with flexibility to work remotely on Fridays. Key Responsibilities Medical Office & Medical Affairs Operations Provide day-to-day operational support across the Medical Office, including Medical Affairs programs, leadership meetings, scheduling, presentations, documentation, and other department priorities. Coordinate Statements of Work, consulting agreements, and other Medical Affairs agreements from initial documentation through Legal review, revisions, approvals, signature, and final documentation. Support Medical grant administration, including assembling required materials, coordinating Grant Committee meetings, managing approvals and agreements, and ensuring completed documentation is appropriately maintained. Coordinate vendor setup, purchase orders, invoices, payment requests, and related documentation, proactively following up with internal stakeholders and vendors to resolve outstanding items. Support required payment transparency and Sunshine Act reporting processes and maintain accurate supporting documentation. Maintain department trackers and records for agreements, grants, vendors, purchase orders, invoices, payments, and other assigned activities. Coordinate across Legal, Finance, Procurement, Accounts Payable, Medical Affairs, and other functions to ensure work progresses efficiently through established processes. Clinical Operations Support Provide Clinical Trial Assistant-level operational support for assigned Vericel-sponsored clinical studies throughout study start-up, conduct, and closeout. Support Clinical Operations leadership and study teams with meeting coordination, agendas, meeting materials, minutes, action-item tracking, presentations, and study documentation. Maintain study trackers, timelines, contact information, training records, and other clinical study documentation, proactively following up on outstanding activities. Support collection, tracking, filing, and maintenance of essential clinical trial documentation and help ensure study records remain complete, accurate, and inspection ready. Coordinate Clinical Trial Agreements, study-related Statements of Work, amendments, and other agreements through internal review, approval, signature, and documentation. Support clinical study vendors and external partners by coordinating meetings, documentation, deliverables, and follow-up activities. Support administration and use of clinical systems and tools, including EDC, IRT/RTSM, Veeva, Advarra CIRBI, and other platforms, as applicable. Participate in User Acceptance Testing (UAT), system implementation, access coordination, training, and other study-system activities as assigned. Support tracking of required SOP and study-specific training and proactively follow up on outstanding requirements. Assist Clinical Operations with study start-up, site activation, ongoing study maintenance, data/document requests, and study closeout activities as assigned. Operational Excellence & Process Improvement Proactively manage open items, deadlines, approvals, and dependencies and escalate risks or delays when appropriate. Identify opportunities to simplify Medical Office and Clinical Operations workflows and develop practical templates, trackers, checklists, and process guides. Maintain organized, accurate, and readily accessible documentation in accordance with applicable procedures and requirements. Build effective working relationships across the Medical Office and enabling functions to help resolve issues and improve execution. Support special projects and evolving Medical Office priorities as assigned. Qualifications Bachelor s degree in Life Sciences, Business, Healthcare Administration, or related discipline preferred; equivalent relevant experience considered. 2-3+ years of relevant experience supporting Medical Affairs, Clinical Operations, clinical research, or a related function within biotechnology, pharmaceutical, medical device, CRO, or another regulated healthcare environment. Prior Clinical Trial Assistant or comparable clinical study support experience strongly preferred. Experience coordinating contracts, agreements, vendors, purchasing, invoices, meetings, documentation, and cross-functional processes. Familiarity with clinical study documentation, study trackers, training records, vendor coordination, and clinical trial processes. Working knowledge of Good Clinical Practice (GCP) and clinical research requirements preferred. Experience with systems such as Veeva, EDC, IRT/RTSM, Advarra CIRBI, DocuSign, and SharePoint preferred. Strong organizational skills and attention to detail, with demonstrated ability to independently manage multiple priorities and deadlines. Demonstrated ability to proactively follow through, identify outstanding requirements, and drive activities through completion. Strong written and verbal communication skills and ability to collaborate effectively with internal teams and external partners. The salary range Vericel reasonably and in good faith expects to pay for this position at the time of this posting is $85,000 to $93,000 annually. The actual salary offered will be determined based on factors such as the candidate s qualifications, experience, and skills. Bonus, incentive pay, equity and benefits may be provided in addition to the base compensation listed above.
