Job Description

Patient Financial Representative Summary:
The Patient Financial Representative (PFR) plays a critical role in ensuring clients have access to the financial resources necessary to receive care. This position is responsible for assisting clients with enrollment into Medical Assistance (MA), coordinating county funding, and serving as the liaison between clients, counties, and funding sources. The PFR ensures timely, accurate, and compliant financial coordination so that no client experiences delays in care due to funding barriers. Essential Duties and Responsibilities Medical Assistance (MA) Enrollment & Support Assist clients in applying for and enrolling in Medical Assistance (MA) and other public health programs Educate clients on eligibility requirements, documentation, and timelines Collect and submit required application materials accurately and promptly Monitor application status and proactively resolve delays or denials County Funding Coordination Initiate and manage county funding requests for SUD and mental health services Maintain consistent communication with county case workers and financial workers Follow up regularly on pending funding approvals to ensure timely placement Understand and navigate Minnesota county-specific processes and requirements Client & Stakeholder Communication Serve as the primary liaison between: Clients County agencies Funding sources (MA, PMAPs, etc.) Facilitate three-way calls between clients and counties to ensure clarity and progress Clearly communicate next steps, expectations, and timelines to clients and internal teams Provide a high level of customer service with professionalism, empathy, and urgency Admissions & Financial Clearance Support Collaborate closely with Admissions to ensure financial clearance prior to admission when required Communicate real-time updates on funding status to Admissions and Program Directors Assist in removing financial barriers to admission and expedite client access to care Follow-Up & Case Management Maintain organized tracking of all active client funding cases Conduct daily follow-ups with counties and funding entities Escalate urgent cases or barriers to leadership as needed Ensure all funding documentation is complete and properly stored in EMR systems (e.g., Procentive) Compliance & Documentation Ensure processes all align with Minnesota DHS regulations and payer requirements Maintain accurate, timely documentation of all communications and actions Protect client confidentiality and adhere to HIPAA standards Addendum This position supports intakes and organizes transportation as needed Please note this job description is not designed to cover or contain all the activities, duties or responsibilities required of the employee for this job. Qualifications Experience in healthcare administration, admissions, case management, or revenue cycle Strong knowledge of Medical Assistance (MA) and Minnesota County funding processes. Demonstrated success in relationship-based roles. Excellent communication and interpersonal skills. Comfortable handling high volume phone communication. Ability to manage multiple priorities. Knowledge of Minnesota DHS licensing and healthcare referral networks. Prior experience working with hospitals, counties, or managed care organizations.
Pay:
$22.00 - $24.00 per hour Expected hours: 40.0 per week
