Location:
Queens Community House, Forest Hills, NY Schedule:
Monday-Friday, 4:30 PM-9:30 PM (25 hours/week)
Pay:
$25/hour Reports to: Adult Education Manager Are you passionate about helping others and building inclusive communities? Queens Community House (QCH) is looking for a Part-Time Intake Coordinator to support our evening Adult Education program. This role is perfect for someone who enjoys working in a dynamic, multilingual environment and wants to make a meaningful impact in the lives of adult learners. As our Intake Coordinator, you'll be the welcoming face of our program—helping participants navigate registration, testing, and intake processes while keeping everything organized behind the scenes. You'll work closely with our Adult Education Manager and a dedicated team to ensure smooth operations and a supportive experience for our students.
What You'll Do:
Be the go-to person for evening program support—handling outreach, intake, registration, and data entry. Help spread the word about our programs through community outreach and social media posts. Keep participant data accurate and up-to-date in our databases (ASISTS and internal systems). Support the student testing and placement process, including coordinating forms, tracking applicants progress, and managing class lists. Confirm student outcomes through consistent and perseverant follow up with program graduates. Provide friendly and helpful responses to inquiries via phone, email, social media, and walk-ins. Translate and interpret during workshops and info sessions (Spanish or Russian preferred). Keep student files organized—both physical and digital. Support attendance tracking and reporting. Join team meetings, required trainings, and professional development opportunities. Help prepare folders and materials for audits and funder visits. Pitch in with other tasks as needed.
What We're Looking For:
Associate's degree preferred (or high school diploma with some college coursework). Foreign college degrees are welcome. At least 3 years of experience working with adults or in an educational setting. Strong customer service experience is a plus! Strong communication and relationship-building skills. Organized, self-motivated, and able to meet deadlines with minimal supervision. Comfortable handling sensitive information with discretion. Understanding of immigrant and adult learner needs. Tech-savvy—familiar with MS Office, email, and databases like ASISTS or Salesforce. Bilingual in English/Spanish or English/Russian (verbal and written).
