Full-Time, Monday - Friday, 7:30 AM - 4:00 PM Position Overview Southwoods Health is seeking a full-time Referral Scheduling Specialist for our centralized business office. This position serves as the vital link between patients and providers. The specialist manages the flow of patient referrals for both internal and external physicians, ensuring every medical encounter is scheduled accurately and efficiently.
Key Responsibilities Patient Access:
Conduct high-volume outbound calls to schedule appointments and guide patients through the registration process.
Referral Management:
Process, track, and maintain accurate records of physician and facility referrals using ARM and EMR worklists.
Data Integrity:
Update patient demographic records and utilize insurance verification software to ensure clean billing and clinical care coordination.
Provider Coordination:
Partner with initiating physician offices to gather necessary clinical documentation for timely scheduling.
Follow-Up:
Monitor referred patients to confirm they are scheduled appropriately and have all necessary pre-appointment instructions.
Team Support:
Assist in training and mentoring call center staff on referral protocols and best practices.
Qualifications Experience:
1-2 years of experience handling medical office referrals is preferred.
Industry Knowledge:
Strong familiarity with medical terminology, insurance workflows, and healthcare business office operations.
Communication:
Exceptional customer service skills with a proven ability to handle patient de-escalation professionally.
Technical Skills:
Proficiency with electronic medical records (EMR) databases and insurance verification systems.
Core Competencies:
High attention to detail, strong problem-solving abilities, and an organized approach to managing workloads.
