Overview We are seeking a dedicated and dependable Medical Office Assistant to join our healthcare team. Applicants must be a Certified Nursing Assistant (CNA) or Medical Assistant (MA). The ideal candidate will provide administrative and basic clinical support to our psychiatric providers while helping ensure patients receive professional, compassionate, and timely service. This position requires an individual who is comfortable working directly with patients, supporting clinical providers, and performing medical administrative duties in a fast-paced outpatient psychiatric setting. Duties & Responsibilities Assist healthcare providers with patient assessments, screenings, and testing. Obtain and document basic patient information as directed by clinical providers. Answer patient phone calls and accurately document messages and concerns. Manage patient scheduling, appointments, cancellations, and rescheduling. Assist patients with check-in and check-out. Maintain accurate and confidential medical records. Assist with patient forms and clinical documentation. Coordinate referrals to specialists, laboratories, and diagnostic services. Assist with insurance verification, insurance forms, and billing-related administrative tasks. Communicate appropriately with pharmacies, providers, patients, and outside healthcare organizations. Assist clinical providers with administrative and patient-care needs. Maintain inventory of medical and office supplies. Follow HIPAA requirements and Healthstead Psychiatry LLC policies and procedures. Maintain a professional, compassionate, and patient-centered environment. Perform additional clinical and administrative duties as assigned. Required Qualifications Applicants MUST meet at least one of the following requirements: Certified Nursing Assistant (CNA); OR Medical Assistant (MA).

Additional requirements:

Minimum 2 years of similar healthcare experience required . Experience working in a medical office, outpatient clinic, or other healthcare setting. Knowledge of medical terminology. Strong computer and electronic medical record skills. Excellent communication and patient-service skills. Ability to accurately document patient information. Strong organizational and multitasking abilities. Ability to maintain confidentiality and comply with HIPAA requirements. Ability to work effectively with psychiatric providers, therapists, administrative staff, and patients. Preferred Qualifications Previous experience in outpatient psychiatry, behavioral health, or mental health services . Experience with insurance verification and prior authorizations. Experience with electronic health record (EHR) systems. Experience assisting with clinical screenings or diagnostic testing. Knowledge of medical billing and coding.
