Job Description
Registrar and Institutional Data Reporter Working within the Academic Affairs division of the College, the Registrar's primary responsibilities are to manage all aspects of the academic life cycle and records for PCA&D students, including the College's studio-based two- and four-year programs, Certificate programs, and the Center for Creative Exploration's enrichment programs. The Registrar is the steward of student records and data, facilitates academic advising, oversees academic plans of study, ensures degree completion pathways, and communicates regularly with the College's Completion, Persistence, and Retention (CPR) team to support student success. The Registrar works closely with academic department chairs and all faculty to support course scheduling and curriculum related processes. The Registrar manages and processes applications for graduation, supports Commencement planning, and works with the Bursar, Financial Aid, Admissions, and Student Life offices to track student enrollment and registration status. As the Institutional Data Reporter, the Registrar communicates with and reports to external constituents such as state, federal, and accreditation agencies and commissions and the College's member associations. Records, Compliance, and Assessment Management, Support, and Reporting Ensuring the completeness, accuracy, and security of student records and transcripts in compliance with the Family Educational Rights and Privacy Act of 1974 (FERPA), assuring FERPA regulations are met and offering training to the College community on FERPA guidelines Maintaining student information in the Student Information System database and in secondary data sets outside of the database Serving as steward of academic data and ensuring accurate and current enrollment data for reporting and planning purposes; producing enrollment verification documents and maintaining historical data on enrollment for the College Researching and reporting institutional data and information for required reporting and compliance purposes, including but not limited to IPEDS and other federal reporting, HEADS and MSCHE (accreditors), PDE and other state reporting including Act 48 attendance, and AICAD and AICUP. Managing and maintaining data and materials required for accreditation and compliance; support meeting the requirements of accreditation reporting, reviews, and site visits In collaboration with department chairpersons and Academic Affairs leadership, overseeing semester and annual assessment surveys Overseeing revisions and publication of the academic catalog Developing and maintaining systems for collecting, validating, analyzing, and reporting institutional data. Preparing recurring and ad hoc reports on enrollment, retention, persistence, graduation, completion, student success, demographics, course activity, faculty and staff, and other institutional metrics. Establishing clear definitions, documentation, and quality-control procedures for institutional data and official statistics. Registration and Academic Process Management and Support Preparing semester course schedules and room assignments for all academic programs and ensuring best possible use of buildings and equipment Overseeing the advising and registration of all students; working with faculty and staff to support academic advising Supporting identity verification processes and procedures for online students Tracking and managing grades, leaves of absence, and withdrawn students Administering and enforcing institutional academic policies related to grading, grade changes, withdrawal, leaves of absence, academic standing, and graduation requirements Coordinating input and distribution of grades, verifying the accuracy of grades, and determining honors based on academic standing including graduation honors and the Deans' list Student, Co-Curricular, and Career Support Supporting students' academic progress and monitoring retention and completion Serving on the PCA&D retention team and supporting campus wide retention initiatives; assisting with monitoring students' academic progress Tracking and authenticating student senior experience, internship and field experience requirements for graduation compliance and career development respectively Working with faculty and Academic Affairs to maintain student records for internships and field experiences Assisting Student Life & Academic Affairs staff in relevant Welcome Week activities for new students Admissions Conducting transfer credit evaluations and ensuring accurate and timely response to transcript requests Onboarding and registration of incoming first-year and transfer students; supporting the Admissions department leading up to new student orientation Registrar's Office and Events Management Proactive, regular, and informative communication with all constituencies Annual assessment of office's programs and services Planning and coordinating graduation ceremonies and other events as required Preparing and administering the department budget Offering administrative support to the Office of the Provost Maintaining membership with appropriate professional organizations, including AACRAO Required Qualifications Bachelor's Degree or higher; Master's Degree preferred 4 or more years of experience in higher education, 2 or more in registrar's office Understanding of small college environment; knowledge of art & design programs preferred Highly organized and excellent time management Ability to think critically and flexibly while identifying problems and formulating and delivering solutions Ability to manage systems, processes, and complex policies across divisions Knowledge of and experience with student records data systems Knowledge of all aspects of the student data system and the academic life cycle of students Understanding and managing integration and impact of student information systems and academic life cycle of students on other divisions and offices such as Bursar, Financial Aid, Admissions, Continuing Education, and Student Life Knowledge of catalog content and production, curriculum management, course scheduling, and documentation of academic policy and academic program management Knowledge of how data is used, understanding of appropriate use of data, and possess the ability to communicate and report data to required entities effectively Understanding of legal and accreditation related standards for records keeping, management, and release Proficiency in academic advising and experience in conducting degree audits Demonstrated ability to manage academic program requirements Demonstrated ability to support large events such as commencement ceremonies Demonstrated ability to identify information needs, collect, analyze, and interpret data For consideration, please submit the following to the Provost at academicaffairs@pcad.edu : Resume/CV Cover letter Contact information for 3 professional references.
