Job Description
Job SummaryThe Clinic Coordinator is responsible for receptionist, scheduling, clerical, administrative, and routine clinical support activities within the clinic. The position provides courteous and professional assistance to patients, providers, and staff while ensuring accurate and efficient management of patient records and clinic operations.
Key ResponsibilitiesPerform receptionist, scheduling, and general clerical duties.
Respond to patient inquiries and assist patients courteously in accordance with departmental and divisional procedures.
Support the administrative and clinical management functions of the clinic.
Perform routine clinical duties associated with the Clinic Coordinator role.
Apply job-specific standards, procedures, and concepts effectively.
Exercise independent judgment when appropriate.
File and maintain patient charts and loose medical-record documents.
Prepare and organize charts for clinic visits.
Retrieve patient charts and phone messages from file rooms and archives.
Archive patient charts and maintain spreadsheets documenting archived records for departmental referral.
Copy, mail, and/or fax medical records to authorized recipients, including patients, hospitals, attorneys, personal representatives, and Social Security or disability determination agencies.
Schedule patient follow-up appointments.
Check out patients following clinic visits.
Contact patients' primary care providers (PCPs) for new patient coordination.
Answer, screen, and route telephone calls appropriately.
Take accurate messages and provide routine information to callers promptly and courteously.
Perform other duties and responsibilities as assigned by supervisors.
Strong patient-facing/customer service skills.
Experience with appointment scheduling and patient check-out processes.
Experience handling and organizing medical records.
Knowledge of chart preparation, retrieval, filing, and archiving.
Experience with medical-record requests and document transmission by mail, fax, or electronic methods.
Strong telephone communication and message-management skills.
Ability to maintain accurate spreadsheets and administrative records.
Strong organizational and time-management skills.
Ability to handle confidential patient information appropriately.
Ability to work independently and exercise sound judgment.
Strong attention to detail and accuracy.
Ability to communicate effectively with patients, healthcare providers, and multidisciplinary staff.

Required Skills & Experience:
3-5 years of experience as a Clinic Coordinator, Medical Administrative Assistant, or Administrative Assistant.Strong patient-facing/customer service skills.
Experience with appointment scheduling and patient check-out processes.
Experience handling and organizing medical records.
