Admissions Coordinator

Job Description

Overview This role guides incoming families through the admissions journey, coordinates care alignment, manages billing and collections under Texas HHSC and
STAR+PLUS
guidelines, and ensures seamless community business operations. Key Responsibilities Lead the resident admissions process from initial tour to move-in, communicating rates, policies, and community guidelines. Partner with the Wellness Leader and Family Advisor to evaluate care needs, verify payer sources, review applicant finances, and establish accurate billing profiles. Oversee all intake and discharge paperwork, securing required permits, releases, and contracts in compliance with community policies and HIPAA. rack daily census activity, logging admissions, room transfers, and discharges. Manage Texas Medicaid and
STAR+PLUS
requirements monthly, confirming eligibility, service authorizations, and Applied Income copays. Oversee community accounting, including accounts payable, cash receipts, bank deposits, and proactive Medicaid accounts receivable collections. Process semi-monthly employee payroll and maintain accurate internal timekeeping logs. Coordinate the community hiring process by conducting pre-employment background screenings, onboarding, and new-hire orientation. Qualifications High school diploma or equivalent required; an associate or bachelor degree in finance, healthcare administration, or related field is a plus. Minimum of 2 to 3 years of medical billing experience, with direct background in Texas Medicaid and
STAR+PLUS
Managed Care programs required. Prior billing experience within assisted living, skilled nursing, memory care, or senior living environments strongly preferred. Solid understanding of Texas Medicaid portals (such as TMHP), MCO payer portals, and electronic claims clearinghouses. Familiarity with senior living electronic health record (EHR) and accounting software (e.g., PointClickCare, MatrixCare, or Yardi). Strong analytical, organizational, and problem-solving skills with high attention to detail. Excellent interpersonal communication skills for working collaboratively with residents, families, case managers, and state representatives. We are an equal opportunity employer.
