  • Holistic Behavioral Health (HBH) Job Summary Holistic Behavioral Health (HBH) is seeking a compassionate, organized, and detail-oriented Medical Office Assistant to join our growing mental health clinic team.
In this important role, you will serve as the first point of contact for our patients while supporting both clinical and administrative operations to ensure a positive and seamless patient experience. We are looking for someone who is professional, dependable, patient-centered, and able to thrive in a fast-paced behavioral health environment. The ideal candidate has strong communication skills, excellent attention to detail, and a genuine passion for helping others. This is an excellent opportunity to grow within a supportive and expanding psychiatric practice serving children, adolescents, and adults. Responsibilities Greet patients warmly and provide excellent customer service in person and by phone Manage front desk operations, scheduling, and appointment confirmations Answer multi-line phone systems professionally and respond to patient inquiries promptly Verify insurance eligibility and benefits prior to appointments Collect co-pays, balances, and process payments accurately Assist patients with intake paperwork and documentation Maintain accurate patient records and ensure HIPAA compliance Upload, organize, and manage medical records within the EHR system Support providers with administrative and clinical coordination tasks Process referrals, prior authorizations, and prescription-related requests Coordinate telehealth appointments and patient communication Review documentation for accuracy and completeness Assist with office organization and daily workflow management Qualifications & Experience Previous experience in a medical office, behavioral health clinic, or healthcare setting preferred Familiarity with Electronic Health Record (EHR/EMR) systems Knowledge of insurance verification and medical office procedures Strong organizational and multitasking skills Excellent verbal and written communication skills Ability to maintain professionalism and confidentiality at all times Proficiency in Microsoft Office and basic computer applications Experience handling front desk operations and patient scheduling preferred Preferred Skills Behavioral health or psychiatric office experience Experience with telehealth coordination Knowledge of prior authorizations and medication workflows Strong customer service and patient engagement skills Ability to work independently while supporting a collaborative team environment Why Join Holistic Behavioral Health?
