About Us We are a premier, fast-paced plastic surgery and dermatology practice in New York City dedicated to delivering exceptional patient care, outstanding aesthetic results, and a personalized patient experience. We are seeking an organized, personable, and detail-oriented Surgical Coordinator to serve as the primary liaison between patients, surgeons, and the surgical team. This role is essential to ensuring a seamless experience from initial consultation through surgery and post-operative care. Position Overview The Surgical Coordinator plays a critical role in guiding patients through their surgical journey while coordinating all aspects of scheduling, communication, documentation, and financial arrangements. The ideal candidate is customer service-driven, highly organized, comfortable discussing surgical procedures and treatment costs, and thrives in a fast-paced, high-volume environment. Key Responsibilities Patient Coordination & Customer Service Deliver exceptional customer service and patient care throughout the surgical process. Welcome patients in a professional, warm, and engaging manner. Serve as the primary point of contact for patients considering or undergoing surgical procedures. Guide patients through recommended procedures, treatment timelines, and pre- and post-operative expectations. Answer patient questions and provide ongoing support throughout their surgical journey. Assist patients with completing required forms and documentation. Communicate effectively with patients regarding appointments, surgical preparation, follow-up care, and recovery milestones. Surgical Scheduling & Coordination Manage consultations and surgical scheduling with accuracy and efficiency. Coordinate operating room and surgical facility availability for both in-office and external surgical centers. Process surgical booking requests and ensure all required documentation is completed. Schedule pre-operative, surgical, and post-operative appointments. Ensure all required pre-operative testing, clearances, and evaluations are completed prior to surgery. Prepare surgical packets, consent forms, and additional documentation required for each case. Coordinate with surgeons, anesthesiologists, surgical facilities, and clinical staff to ensure seamless surgical planning. Confirm availability of required surgical supplies and equipment. Financial Coordination Present treatment plans and surgical quotes to patients. Review payment schedules, financing options, and financial policies. Collect and process surgical deposits and high-value patient payments. Accurately assess all applicable fees associated with surgical procedures and services. Educate patients regarding treatment costs and payment expectations. Insurance & Administrative Support Verify insurance coverage, benefits, eligibility, co-pays, and co-insurance when applicable. Collaborate with insurance companies and healthcare providers to obtain authorizations and approvals. Maintain accurate patient demographic, financial, and insurance information. Update patient accounts and electronic medical records in a timely manner. Scan, upload, and organize medical records and supporting documentation. Obtain and maintain before-and-after photographs as appropriate. Front Desk & Office Support Answer and direct incoming phone calls professionally and courteously. Respond promptly to voicemail messages and patient inquiries. Perform patient registration, check-in, and check-out procedures. Collect and post patient payments as needed. Coordinate follow-up appointments and ensure continuity of care. Keep providers and management informed regarding patient flow, arrival status, and scheduling updates. Compliance & Team Collaboration Ensure all patient and surgical records are complete, accurate, and maintained in compliance with HIPAA and regulatory standards. Follow all financial, administrative, and safety policies and procedures. Maintain a safe, secure, and professional work environment. Participate in team meetings, ongoing training, and continuing education opportunities. Collaborate effectively with physicians, providers, and staff to support practice goals and patient satisfaction. Qualifications & Experience Required Qualifications High School Diploma or GED required. Minimum of 2 years of experience in plastic surgery, dermatology, aesthetics, cosmetic surgery, or a related specialty required. Proven ability to convert consultations into booked procedures while maintaining a positive and patient-centered experience. Experience discussing procedure pricing, treatment plans, and financial arrangements. Knowledge of insurance verification, benefits interpretation, and authorization processes. Strong customer service background, ideally in a high-volume or luxury service environment. Preferred Attributes Positive, professional, and welcoming demeanor.
