This individual should be decisive, solutions-oriented, and highly organized, with strong leadership, communication, and crisis-management skills. The Assistant Catering Operations Manager serves as the one of the primary client contacts on the day of the event and works closely with the Sales Manager, Culinary Team, Catering Operations Manager, and event staff to ensure the seamless execution of all food and beverage functions. This position is responsible for maintaining the service standards of Lessing's Hospitality Group and North Palm Beach Country Club, with a primary focus on front-of-house operations, event coordination, and guest satisfaction. Duties & Responsibilities Leadership Assist with the training, development, and coaching of event staff; provide constructive feedback as needed. Hold staff accountable to Lessing's policies, procedures, and service standards. Lead by example and foster a positive, professional, and collaborative work environment. Delegate responsibilities effectively and ensure team members understand expectations. Address and resolve issues involving guests, staff, vendors, maintenance, or other operational concerns. Respond promptly and professionally to customer complaints, questions, and requests. Event Planning & Coordination Assist with event planning and execution, including preparing event diagrams, timelines, and service flows from setup through teardown. Attend client tastings, build strong relationships with clients, and maintain detailed notes and photos to ensure event specifications are accurately reflected on the BEO. Review Wedding Homework and other event details to ensure all information is accurately communicated on the BEO. Attend BEO meetings and ensure Captains have updated BEOs reflecting all event changes. Coordinate with vendors prior to events regarding final details, arrival times, and load-in/load-out procedures. Distribute vendor load-in/load-out guidelines and ensure compliance. Greet vendors upon arrival and reconfirm event details and logistics. Maintain extensive knowledge of catering menus, food and beverage offerings, and pricing to confidently answer client and staff questions. Event Operations Open and prepare the facility prior to each event. Conduct a thorough walk-through of the building and grounds to ensure cleanliness, organization, and readiness. Coordinate maintenance needs with the appropriate team members as necessary. Meet with Captains prior to pre-shift to review BEO details, event expectations, and special requests. Attend and actively participate in the full pre-shift with the event team. Greet clients upon arrival and serve as the primary point of contact throughout the event. Assist with event execution and service as needed to ensure a seamless guest experience. Partner with the Catering Operations Manager to oversee day-of-event operations and ensure the event follows the approved BEO and timeline. Complete an event report following each event, documenting feedback, challenges, and opportunities for improvement. Financial & Inventory Management Contribute to the achievement of budgeted food and beverage sales and labor-cost goals. Monitor inventory levels and maintain appropriate par levels in a cost-effective manner. Conduct monthly inventory of beverage and paper products at the end of each accounting period; prepare and enter inventory for GM approval. Manage weekly ordering of alcoholic and non-alcoholic beverages. Review upcoming BEOs and events to anticipate product needs and ensure adequate inventory. Maintain accurate inventory records and minimize waste through effective ordering and forecasting. Miscellaneous Comply with all applicable safety, sanitation, and health regulations. Conduct site visits as needed. Maintain a safe, clean, and professional working environment. Perform other duties and responsibilities as assigned by the General Manager. Requirements College degree preferred. Proficient in English; Spanish language skills are a plus. Extensive food and beverage knowledge. Previous event sales, catering, or event-planning experience. Previous experience in a similar hospitality management role, or a minimum of four years of experience as a Banquet Supervisor, Conference Services Manager, or comparable position. Experience with hotel, event-management, and/or catering software. Experience with Point of Sale (POS) systems. Working knowledge of inventory management, purchasing, and ordering systems. Strong cash-handling skills and the ability to perform basic mathematical and financial calculations. Flexible availability, including evenings, weekends, holidays, and varying shifts. Ability to work 10+ hour shifts and remain standing, sitting, or walking for extended periods. Ability to lift, carry, and/or move up to 50 pounds as needed. Ability to work in varying temperatures and occasionally in areas exposed to steam, heat, or confined spaces. Maintain a neat, clean, and well-groomed professional appearance.
