Position Overview We are seeking a Member Services Associate for a full-time role that blends clinical care with an elevated member experience and front desk operations. This is an experience-first role supported by customer service expertise. You will help shape the member experience by guiding them through their sessions, ensuring safety, and creating a seamless, elevated environment. Personable, energetic, and client-focused Interested in health, wellness, and longevity Comfortable operating in both clinical and hospitality settings Client Experience & Front Desk Responsibilities Welcome clients and create a warm, elevated, concierge-style experience Answer phone calls, texts, emails, and PatientNow messages promptly and professionally Assist clients with scheduling, service questions, and membership inquiries Build rapport with members and create a welcoming environment Educate clients on services and guide them through their sessions Support membership conversations and transition into sales after member onboarding period Contribute to KPIs related to client conversion and retention Support membership and package sales through education and relationship-building Technology & Session Management Walk clients to service rooms and ensure smooth transitions between services Monitor clients during sessions to ensure safety and comfort Maintain cleanliness and operational readiness of all equipment Team Coordination & Administrative Operations Coordinate daily schedules for providers, nurses, and wellness staff Assist with organizing and maintaining SOPs (Standard Operating Procedures) Support communication between front desk staff and clinical/nursing teams Help ensure operational flow between appointments, services, and rooms Assist with onboarding systems and internal administrative processes Monitor appointment flow and help troubleshoot scheduling conflicts Maintain accurate client notes and communication within PatientNow Support inventory awareness and operational organization when needed Qualifications Friendly, professional, and hospitality-driven Highly organized and detail-oriented Comfortable multitasking in a fast-paced environment Passionate about wellness, health, recovery, and human performance A strong communicator with excellent interpersonal skills Coachable and eager to learn Professional in appearance, communication, and conduct Requirements Customer/Client Focus Teamwork Orientation Problem Solving/Analysis Communication Proficiency Ethical Conduct Stress Management/Composure Discretion Preferred Background Experience in aesthetic, wellness, or recovery-based environments Interest in health, performance, and longevity optimization Experience in client-facing or hospitality-driven roles Experience using scheduling or CRM software (PatientNow experience is a plus) Experience working in a team-oriented environment Supervisory Responsibility This position has no supervisory responsibilities. Work Environment This position operates in a professional wellness environment that blends clinical care with advanced recovery technologies. The role includes both front desk operations and hands-on client support within treatment areas. Core hours are Monday through Friday, 9:00 AM to 5:00 PM, with future availability required for weekend shifts as the business grows. Preferred Education and Experience 1. College degree (preferred, not required) 2. 1-2 years of related clinical or wellness experience 3.
