You'll be the first face of their experience, the steady hand throughout their protocol, and the reason they stay. This isn't a "room the patient and take vitals" job. You'll own the relationship — from onboarding through long-term retention — in a wellness-spa-meets-medical-practice environment where hospitality and clinical competence matter equally. We are seeking a dynamic and enthusiastic Concierge Medical Coordinator with a passion for fitness and a solid foundation in functional medicine. This role is designed for a proactive individual who thrives in a fast-paced, health-focused environment and is committed to delivering exceptional patient service. The ideal candidate will possess comprehensive medical office experience, strong organizational skills, and a deep understanding of fittness, and integrative health practices. Responsibilities Serve as the primary point of contact for patients, guiding them through their wellness journey with professionalism and warmth Coordinate appointments, screenings, and follow-ups utilizing Electronic Health Records (EHR) systems and ensure accurate medical documentation Assist with intake procedures, including vital signs measurement, medical history collection, and initial assessments aligned with functional medicine protocols Support clinical staff by managing patient flow, preparing examination rooms, and handling administrative tasks such as medical records management Facilitate communication between patients and Dr. Bar and team regarding treatment plans, medication administration, and lifestyle recommendations Ensure compliance with healthcare regulations by adhering to medical assisting standards, HIPAA guidelines, and safety protocols including Basic Life Support (BLS) certification Skills What You'll Do Guide new concierge patients through onboarding and their first 90 days Monitor patient protocols (IV therapy, peptides, stem cell treatments, fitness/body composition plans) and flag adjustments needed Check in proactively — not reactively — to track satisfaction, progress, and adherence Identify upsell and renewal opportunities and convert them (this is where your sales background pays off, literally) Own patient retention as a personal metric, not an afterthought Coordinate scheduling, follow-ups, and communication across the care team Perform phlebotomy and basic clinical support duties as needed Maintain the polish and discretion expected in a high-end concierge setting What We're Looking For Medical Assistant (certified) or LVN — phlebotomy skills strongly preferred Prior experience in a concierge medical practice, medical spa, or high-end wellness setting A track record of sales or upsell experience in a prior role (medspa, aesthetics, wellness membership sales, etc.) Someone who is naturally relationship-driven — you remember details, you follow up without being asked, and patients trust you Comfortable discussing longevity, biohacking, and performance optimization concepts (training provided, curiosity required) Highly organized, self-directed, and able to manage a flexible caseload independently Professional presentation and communication — this role represents the practice Compensation & Schedule 30 hours/week , flexible scheduling Base pay + monthly sales/retention bonus Growth potential as the practice and membership base expand If you thrive in an environment where medicine, hospitality, and performance culture intersect — and you want to be part of a practice on the leading edge of longevity medicine — we'd like to meet you.
