Job Description

Position Summary We are seeking a professional, friendly, and results-driven MedSpa Concierge/Appointment Specialist to join our dynamic front office team. This role is the first point of contact for patients and plays a critical role in providing exceptional customer service, managing leads, supporting patient acquisition, and driving appointment bookings for our medical and aesthetic services. This position is in-person at our office in Honolulu, HI. Key Responsibilities Answer and manage incoming phone calls promptly and professionally Serve as the first point of contact for all new patient inquiries—gather key information, assess interest, and guide leads through the appointment funnel Proactively follow up with patients through phone, text, and email to maximize consultation bookings and conversion. Educate prospective patients about our services, providers, pricing, and promotions in a compelling, brand-aligned manner Maintain appointment tracking logs and contribute to reports on appointment status and conversion rates. Collaborate with the marketing and front office teams to support promotions and campaigns Schedule, confirm, and reschedule appointments using our electronic medical records (EMR) system, Nextech Triage patient inquiries appropriately to clinical staff or administrators Document all communications accurately in the patient chart Support the front desk team during high-volume times or when needed Uphold HIPAA compliance and maintain strict patient confidentiality Represent the practice with warmth, empathy, and professionalism in every interaction Qualifications 2+ years of experience in a call center, medical sales, or customer service environment—experience in aesthetics or luxury services a plus Strong verbal communication, persuasion, and active listening skills Proven ability to manage and convert leads effectively Proficient in EMR systems, lead tracking tools, and general computer skills Comfortable discussing high-ticket services and handling objections with poise Highly organized, self-motivated, and able to multitask in a fast-paced setting High school diploma or equivalent required Why Join Us?
