Job Description

Client Experience & Relationship Management Serve as the primary hospitality contact for clients and guests. Deliver a concierge-level experience before, during, and after client meetings. Greet clients by name and ensure a personalized experience. Manage client preferences, interests, family information, and special occasions. Coordinate welcome packages, appreciation gifts, and milestone recognition. Conduct proactive service outreach to strengthen client relationships. Ensure all client interactions align with the firm's service standards. Client Hospitality Prepare conference rooms and meeting spaces. Coordinate food, beverages, and hospitality for client meetings. Arrange transportation, restaurant reservations, lodging, and special requests when appropriate. Ensure the office environment consistently reflects a luxury client experience. Manage reception responsibilities and guest check-in procedures. Client Events & Experiences Coordinate educational seminars, appreciation events, golf outings, client dinners, and community events. Manage event planning timelines, vendor relationships, invitations, RSVPs, and follow-up communications. Coordinate VIP experiences for top-tier clients. Track attendance and event feedback. Assist in the development of annual client appreciation programs. Client Communications Prepare personalized birthday, anniversary, holiday, and milestone communications. Assist with client newsletters and service communications. Monitor client satisfaction and escalate concerns promptly. Ensure timely follow-up on client requests. Support the implementation of client referral and advocacy programs. Client Data & Service Coordination Maintain accurate client records within CRM systems. Document client preferences and personal details. Track service requests through completion. Coordinate with advisors, paraplanners, operations staff, and external professionals. Assist with onboarding new clients and service transitions. Administrative Support Manage advisor calendars and client scheduling as needed. Coordinate travel arrangements and meeting logistics. Order office and hospitality supplies. Assist with special projects and practice initiatives. Support office management responsibilities. Ideal Candidate Profile The successful candidate is a hospitality-minded professional who thrives on creating memorable experiences and building meaningful relationships. They are highly organized, proactive, detail-oriented, and passionate about delivering exceptional service. What We're Looking For
  • Bachelor's degree is preferred but not required for candidates with strong relevant experience.
  • 3+ years of experience in one or more of the following areas: Luxury hospitality Private banking Wealth management Executive concierge services Luxury retail Client relationship management
  • Excellent verbal and written communication skills.
  • Strong organization, follow-through, and ability to manage multiple priorities.
  • High degree of professionalism, discretion, and confidentiality.
  • Comfort using Microsoft Office and CRM systems.
  • Positive, proactive, client-first mindset with strong attention to detail.
Pay:
$45,000.00 - $50,000.00 per year
