Job Description

Job Summary Amazon Creek Dental is looking for a positive, confident, and highly efficient New Patient & Scheduling Coordinator to join our team. This is a front-office position with a strong focus on phone communication, patient conversion, scheduling, and customer service . You will often be the first person a prospective patient speaks with, and your ability to quickly build trust, understand what the patient needs, provide clear and concise information, and confidently schedule an appointment is an important part of this position. We are looking for someone who is warm and personable but also focused and efficient . Great customer service does not mean keeping someone on the phone unnecessarily. The ideal candidate can make a caller feel heard and cared for while keeping the conversation moving toward a clear next step. This is not a high-pressure sales position. We want someone who understands consultative sales : listen, identify the patient's needs, answer the questions that matter, overcome reasonable concerns, and confidently ask for the appointment. Dental experience is helpful, but strong sales, customer-service, or phone-conversion experience may be equally valuable. Responsibilities Answer incoming calls promptly, warmly, and professionally. Convert prospective-patient inquiries into scheduled appointments. Quickly identify what a caller needs by asking focused, relevant questions. Provide clear and accurate information about our office, services, scheduling, insurance, and payment options within the appropriate scope of the position. Keep calls friendly, focused, and efficient while avoiding unnecessary or overly lengthy conversations. Confidently ask for the appointment and offer specific scheduling options. Address common concerns regarding cost, insurance, scheduling, dental anxiety, and availability without using high-pressure tactics. Follow up with prospective patients who have expressed interest but have not yet scheduled. Recover missed calls and other patient inquiries promptly. Schedule appointments accurately and help maintain a productive schedule. Identify opportunities to fill cancellations and openings in the schedule. Communicate clearly with the clinical team regarding patient needs and scheduling concerns. Maintain accurate patient information and documentation in our practice-management system. Assist with normal front-office responsibilities, including patient check-in/check-out, scheduling, phones, records, payments, and other administrative duties as needed. Look for ways to help the office without waiting to be asked, particularly during slower periods. What We're Looking For We are especially interested in someone who: Has an excellent phone presence and enjoys talking with people. Can establish rapport quickly. Is comfortable guiding and controlling a conversation without sounding rushed or dismissive. Knows how to ask good questions rather than simply providing information. Can recognize when a patient is ready to schedule and confidently close the call. Communicates clearly and concisely. Is comfortable discussing fees and payment options professionally. Can handle objections without becoming defensive or overly persistent. Is organized and able to manage multiple responsibilities without losing attention to detail. Works with both thoroughness and efficiency . Remains calm and steady when the office becomes busy. Has a positive, solution-oriented attitude. Accepts feedback well and actively works to improve. Notices what needs to be done and takes initiative without needing constant direction. Is willing to help teammates even when a task does not technically belong to their position. Brings problems forward with possible solutions rather than simply stating that there are problems. Experience Experience in any of the following may be especially valuable: Inbound or inside sales Appointment setting High-volume phone customer service Dental or medical front office Patient scheduling Customer retention Hospitality or concierge services Admissions or enrollment Automotive service advising Home-service scheduling or inbound call centers Previous dental experience is preferred but not required for an exceptional candidate. We are willing to teach dental terminology, our services, scheduling protocols, insurance basics, and our software to the right person. Strong communication skills, work ethic, judgment, and the ability to connect with people are much harder to teach. How We Define Success Everyone on our team contributes to the success of the practice. For this position, success means: Prospective patients feel welcomed and confident in our office. Incoming opportunities are converted into scheduled appointments whenever appropriate. Calls are handled efficiently without sacrificing the patient experience. Missed opportunities receive appropriate follow-up. The schedule remains productive and openings are actively addressed. Information is documented accurately. Patients receive clear, consistent communication. Coworkers can rely on you when the office gets busy. You continually look for ways to improve your own performance and help the practice succeed. Work hours - 4 days a week 7:30am to 5:30pm

• Hours vary based on Company needs, Patient schedule/treatment, and training sessions

• Retirement plan- Simple IRA up to 3% match We are not looking for someone who simply answers the phone and takes messages. We are looking for someone who takes ownership of the conversation, helps the patient determine the appropriate next step, and gets things done. If you are naturally positive, confident on the phone, comfortable asking for the appointment, efficient with your time, and enjoy being part of a team where everyone contributes, we would like to hear from you.
