GENERAL DESCRIPTION
Under the direction of the Supervisor and Building Manager, serves as communication center for the residents, staff, and other customers.
MINIMUM REQUIREMENTS
EDUCATION:
High School diploma or equivalent. Must be able to read, speak, and write English. Previous experience in the operations of PBX and/or secretarial role of a business office is preferred. Must maintain valid Texas driver's license.
SKILLS:
Ability to communicate effectively with peers, other staff and customers. Ability to operate and use effectively two-way radios, beepers, office equipment, and telephones. Exhibit effective computer skills.
ESSENTIALS OF JOB
1. Serves as communication center, which includes: Consideration of regulatory requirements. (constantly) PBX calls, incoming and outgoing. (frequently) Direct and greet all building traffic to proper place. (constantly) Serve as message center. (constantly) Coordinate security requests needed by residents and individuals. (frequently) Wake up calls for residents and/or visitors. (occasionally) 2. Responds to emergencies, including: Handling all types of emergencies promptly and effectively. (frequently) Calling ambulance, fire department, police, and family when needed. (frequently) Escorts emergency personnel to the appropriate area. (occasionally) 3. Assists residents, including: The evaluation of the resident(s) needs. (constantly) Coordinate elevators for move-in and move-outs. (constantly) Deliver USA, UPS, FedEx packages to Resident apartments. (constantly) Bring Residents' car to front door area at request. Also, park cars in Resident parking spaces. (constantly) Help Residents with cell phone, apartment phone, television, or computer. Notify IT Department of such help and whether or not problem was fixed. (constantly) 4. Maintains daily documentation of pertinent communications, including: Keeping a daily log of all emergencies or valued information on day to day events. (constantly) Daily report on residents and their well-being. (frequently) 5. Input work orders for maintenance issues by contacting appropriate department. (constantly) 6. Records and collects guest room rentals. (occasionally) 7. Assists Building Manager and communicates Resident and staff issues. (constantly) 8. Performs clerical duties as needed. (occasionally) 9. Performs any task that is required to help property run smoothly, including but not limited to locking and unlocking doors at designated times and checking and resetting alarms. (frequently) 10. Check floors, parking lots, stairwells, and common areas at designated times for resident issues, safety concerns, and unusual occurrences. (frequently) 11. Monitor building traffic by observing entrances/exits as well as camera system if available. (constantly) 12. Coordinate transportation of residents by preparing and submitting transportation requests. (frequently) 13. Put out holiday flags on designated days. (occasionally) 14. Help with video, sound system, and screen in parlor. (frequently) 15. Pre-check IT and Maintenance work orders to determine if the problem can be addressed before sending to the appropriate department. (occasionally) 16. Obey traffic laws during shift. (frequently) 17. Must be able to commit the time necessary from an attendance and punctuality standpoint to accomplish the above specified Essentials of Job. (constantly)
