Event Coordinator - Feast & Fareway Rise & Shine Hospitality Group is looking for an experienced, detail-oriented Event Coordinator to join our team at Feast & Fareway in beautiful Coronado, California. About Feast & Fareway Located along the iconic Coronado Golf Course, Feast & Fareway offers a unique waterfront setting with panoramic views of the golf course, San Diego Bay, and the Coronado Bridge. About the Position We are seeking a highly organized event professional who understands what it takes to turn a client's vision into a successful, memorable experience. Our ideal candidate enjoys working with people, anticipates needs, communicates confidently, and remains calm in a fast-paced environment. From weddings and corporate events to birthdays and anniversary celebrations, this person will help coordinate every detail from the planning stage through the conclusion of the event. This is a hybrid administrative and operational role that supports the Sales and Marketing team while coordinating event preparation, staff communication, and on-site execution. The Event Coordinator reports to the General Manager and works closely with the Sales Department to ensure a seamless transition from event booking to event activation. What You'll Do Before the Event Communicate with clients throughout the planning process, including walkthroughs, layouts, timelines, menus, and general questions Work closely with the Sales Manager, outside planners, wedding coordinators, and consultants Attend weekly event meetings and provide updates on closed business, upcoming events, BEOs, layouts, and special instructions Confirm event details with clients and obtain management approval for changes when required Review regular events at least seven days in advance and weddings at least 14 days in advance Confirm headcounts, menus, dietary restrictions, rentals, linens, insurance, permits, layouts, décor, and vendor requirements Collect and maintain required certificates of insurance and Coronado business permits from outside vendors Coordinate with linen, rental, entertainment, photography, dessert, staging, and other event vendors Schedule vendor walkthroughs, deliveries, arrival times, and setup requirements Create, update, print, and distribute contracts and BEOs through Tripleseat Ensure finalized BEOs are communicated to managers, chefs, and banquet team members Confirm that all in-house equipment is clean, stocked, and ready for use Create setup and shutdown checklists and delegate preparation tasks to the banquet team Process event deposits when a manager is unavailable Respond to incoming event inquiries and direct potential clients to the Sales Manager Meet with walk-in event inquiries when the Sales Manager is unavailable Photograph event displays, plated items, layouts, and buffets for future reference and marketing use What You'll Do on Event Day Serve as the primary point of contact for clients and incoming vendors when scheduled Review the BEO and event space to ensure everything meets the contracted standards Communicate layouts, timelines, and special instructions to the banquet team Lead pre-shift meetings and answer team member questions Ensure layouts, linens, menus, bars, décor, and vendor areas are set up correctly Follow and enforce the event timeline Address client, guest, or vendor concerns calmly and professionally Work alongside the service team to ensure excellent service and guest satisfaction Coordinate vendor arrivals, meals, equipment, and setup needs Communicate with the Chef and kitchen team to fulfill all BEO menu requirements Confirm that guest allergies and dietary restrictions are properly communicated and accommodated Work with management to process final balances and accurately enter events into the POS system Complete an accurate event checkout with the manager Provide a thorough handoff to the Manager on Duty if leaving before the event concludes Expected Outcomes Events Are Fully PreparedAll details are confirmed, documented, and communicated within the established deadlines. Events Run SmoothlyLayouts, timelines, menus, staffing, vendors, and service are executed according to the finalized BEO. Clients Feel SupportedClients receive responsive, professional communication and feel confident throughout the planning process. Teams Are Set Up for SuccessManagers, chefs, banquet staff, and vendors receive clear instructions and understand their responsibilities. Every Event Reflects the Feast & Fareway BrandEvents are organized, welcoming, and memorable while meeting company standards for hospitality and execution. Qualifications 2-3 years of event coordination, banquet, wedding, or hospitality experience Exceptional organizational skills and attention to detail Excellent written and verbal communication skills Strong interpersonal and client-service skills Ability to manage multiple events, deadlines, and changing priorities Strong problem-solving skills and composure under pressure Experience reading and executing Banquet Event Orders Tripleseat or similar event-management software experience preferred Positive, proactive attitude and willingness to support the team Availability to work evenings, weekends, and holidays based on the event schedule Reliable and punctual attendance At Rise & Shine, we believe in looking, seeing, and taking action.
