JOB SUMMARY
The Reservations & Events Coordinator is a full-time, onsite position within the Sales Department that combines responsibilities supporting hotel reservations, group room blocks, catering, and events. The position provides reservations and group coordination support based on hotel business levels and seasonal needs, while also supporting the Catering Sales Manager with the coordination and execution of meetings, catered events, site tours, and other group functions. A key responsibility of this position is providing weekend event and Sales & Catering coverage. The Reservations & Events Coordinator works closely with the Catering Sales Manager, Director of Sales, Food & Beverage team, Front Desk, and other hotel departments to help ensure accurate reservations, effective communication, and a smooth client and guest experience from the planning stages through the completion of an event.
ESSENTIAL FUNCTIONS
Events & Catering Support Supports the Catering Sales Manager with the planning, coordination, and execution of meetings, catered events, social functions, and group activities. Provides onsite coverage for scheduled events, particularly on weekends, based on the hotel's event calendar and business needs. Serves as an onsite point of contact for assigned events and assists with communicating client needs and event requirements to appropriate hotel departments. Greets clients, meeting planners, and event guests in a warm and professional manner. Conducts property and event-space tours for prospective and confirmed clients as assigned. Assists with gathering event details, client requests, timelines, and other information needed for upcoming functions. Assists with the preparation and distribution of Banquet Event Orders (BEOs) and related event documentation under the direction of the Catering Sales Manager. Reviews upcoming event information and assists with ensuring relevant departments have the information necessary to execute scheduled functions. Assists with client communication and follow-up by telephone and email as directed. Provides administrative support for proposals, event correspondence, client files, appointments, calendars, and other Sales & Catering documentation. Communicates with Food & Beverage, Front Desk, Housekeeping, Engineering, and other departments regarding event and group requirements. Assists with event setup coordination and conducts event-space checks as needed. Monitors assigned events while in progress and communicates client requests, concerns, or operational issues to the appropriate manager or department. Assists with transitioning clients and event information to the appropriate operational teams. Maintains organized and accurate event and catering files and records. Assists with hotel sales activities, guest events, community activities, and other Sales & Catering initiatives as assigned. Attends Sales, Catering, BEO, and other departmental meetings as requested. Reservations & Group Coordination Processes reservations received from the Sales Department and other hotel departments by telephone, email, central reservation systems, and other approved channels. Creates new reservations and accurately processes changes and cancellations in the Property Management System (PMS). Communicates reservation information and confirmations to guests and relays relevant information to the Front Desk, Sales Department, and other appropriate parties. Supports group, tour, and FIT reservations as assigned. Creates and maintains group room blocks in applicable hotel systems, including CI/TY and Lightspeed. Processes rooming lists and records requests for special accommodations. Serves as a liaison between the hotel and housing companies or reservation platforms for assigned groups and conventions. Monitors group pickup, room type availability, cutoff dates, and other reservation requirements and communicates concerns to Sales leadership. Maintains and monitors rates and availability in accordance with established hotel procedures. Accurately records special billing instructions, group codes, transient business codes, and other reservation information. Processes applicable no-shows, credit card information, advance deposits, and cash deposits accurately and in a timely manner. Assists with master arrival reports, VIP reservations, and pre-stay correspondence. Handles daily reservation correspondence and responds to inquiries in a timely and professional manner. Assists with group preregistration activities, including preparation of key packets, breakfast vouchers, welcome letters, and room blocking. Communicates potential sellout dates, reservation concerns, discrepancies, or unusual matters to the appropriate manager. Collaborates with the Sales Department on group and reservation-related opportunities and initiatives. Maintains current knowledge of hotel room types, rates, packages, promotions, amenities, services, and hours of operation. General Responsibilities Provides exceptional service by communicating professionally and effectively with guests, clients, coworkers, and supervisors. Demonstrates teamwork by cooperating with and assisting other departments as necessary. Maintains confidentiality of guest, client, employee, and hotel information. Maintains organized files, calendars, records, and work areas. Follows Sheraton Garden Grove-Anaheim South Hotel policies and Marriott brand standards. Maintains current knowledge of hotel services, facilities, event spaces, and relevant Marriott and Sheraton standards. Participates in required hotel and departmental training. Performs other job-related duties as assigned based on business needs.
JOB SPECIFICATIONS
Education:
High school diploma or equivalent required; some college coursework in hospitality, business, sales, or a related field is a plus. A college degree is a PLUS.
Experience:
At least two years of previous hotel, reservations, sales, catering, events, or related hospitality experience preferred. Previous experience with hotel groups, events, reservations, a Property Management System, or a sales/catering system is preferred.
Skills & Qualifications:
Strong written and verbal communication skills. Strong organizational and follow up skills and attention to detail. Ability to manage multiple assignments, deadlines, reservations, and events simultaneously. Professional and service-oriented approach when communicating with clients and guests. Ability to work independently while collaborating effectively with Sales, Catering, and hotel Operations. Ability to respond professionally to changing events and operational needs. Proficient knowledge of Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint. Experience with CI/TY, Lightspeed, or similar hotel systems is a plus. Written and verbal understanding of English required; additional languages are a plus.
SCHEDULE & AVAILABILITY
This is a full-time, 100% onsite position . Regular weekend availability is required, as this position provides event and departmental coverage based on the needs of the business. The regular workweek may include examples such as a Wednesday through Sunday or Thursday through Monday schedule, depending on hotel operations, scheduled events, and departmental coverage needs. The position may also require evening and holiday availability for scheduled events and other business needs. Work schedules may vary from week to week based on the hotel's event calendar, group activity, occupancy, and operational requirements.
