Job Summary The University Events & Commencement Specialist plays a key role in planning and delivering high-profile university events and commencement ceremonies that shape the experiences of students, families, faculty, staff, and guests. Responsibilities include event intake, project timeline development, budget tracking, logistics, communications, vendor and campus partner coordination, event technology and data management, training support, and event assessment.
Key Responsibilities University Commencement:
Coordinate and implement assigned planning and operational activities for University Commencement ceremonies. Develop and maintain project timelines, communication plans, logistics, campus and vendor coordination, registration, ticketing, guest management, ceremony programs, rehearsals, and related events. Support staff, student assistants, and volunteers; monitor progress and event data; and identify and elevate issues requiring management attention.University Events:
Coordinate assigned University Relations events from intake through execution. Consult with event requesters; develop event plans, budgets, timelines, and logistics; coordinate campus partners and vendors; and ensure adherence to university policies and approved plans. Department University Events/Commencement Time Base 1.0 time-base, 40 hours per week. Duration of Appointment This is a temporary position for one year with no permanent status granted. Temporary assignments may expire prior to the ending date. Classification Events & Conference Planner II Compensation Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.Hiring Range:
The hiring range for this position is $4,617 (Step #1) - $5,518 (Step #10) per month commensurate with candidate's education, experience, skills, and training.CSU Classification Salary Range:
The CSU Classification Salary Range for this position is $4,617 (Step #1) - $6,727 (Step #20) per month. Knowledge, Skills, and Abilities Ability to work with a variety of offices and individuals in planning, coordinating, and implementing complex university events. Ability to work calmly in a fast-paced, hectic, high profile environment. Ability to prioritize multiple responsibilities and work under pressure with constant interruptions. Ability to make decisions and take initiative in solving problems. Ability to handle multiple tasks and to prioritize them. Familiarity with University fiscal procedures. Experience working with students and the public. Ability to interact positively with staff and on- and off-campus vendors. Thorough knowledge of various computer programs (i.e. Microsoft Office suite, Drupal, Adobe Photoshop, ln Design, Contribute, etc.) and other office equipment. Knowledge of Tassel a plus. Ability to maintain a safe work environment. Ability to efficiently and accurately track and complete paperwork. Ability to track and complete multiple short-term and long-term projects that require a high degree of analysis and accuracy in a fast-paced environment. Must be a self-starter, willing to "roll-up sleeves" to get things done. Ability to identify and resolve problems independently, to learn new processes and procedures, and take a proactive approach to process improvement. Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence." Education and Experience- Equivalent to a bachelor's degree in a related field and three years of related experience required.

- Valid CA Driver's License preferred.
