Event Coordinator
Job Description
We are looking for a proactive Event Coordinator to support a Contract assignment in San Jose, California. This role is ideal for someone with prior event experience who stays attentive to team needs, communicates clearly, and steps in wherever support is needed. The position involves assisting with event preparation and day-of execution, with a strong focus on organization, guest-facing coordination, and on-site operational support.
Responsibilities:
Prepare event materials and support pre-event setup activities, including registration areas, signage staging, and general venue readiness. Help organize and place branded or directional signage throughout the event space to ensure a positive attendee experience. Provide hands-on assistance during check-in by welcoming guests and helping registration run smoothly and efficiently. Partner with the on-site operations lead to keep event logistics on track and respond quickly to changing needs throughout the program. Monitor room usage and attendance flow, helping the team maintain accurate counts and an organized event environment. Pitch in across multiple event tasks as priorities shift, demonstrating flexibility and a strong work ethic during extended hours. Maintain an appropriate appearance and follow event dress expectations while working in an active, fast-paced setting. Collaborate with a larger event staff team to deliver a well-coordinated corporate event experience from setup through execution. At least 1 year of experience supporting live, corporate, or large-scale events. Prior experience in event coordination, event logistics, or on-site event production. Strong verbal communication skills and the ability to follow instructions accurately and effectively. Excellent organizational skills with the ability to manage multiple tasks in a fast-moving environment. A self-starting attitude with the initiative to seek out additional ways to help when primary tasks are complete. Ability to remain on your feet for extended periods and work a schedule that may exceed standard hours. A detail-oriented demeanor suited to guest-facing event responsibilities. Familiarity with the event space is a plus, but not required.
