Operations Coordinator
Job Description
Job Summary We are a premier winery, tasting room, and event venue in Paso Robles seeking a highly organized, tech-savvy, and personable Operations Coordinator. This multifaceted position combines administrative support, event sales and coordination, digital marketing, and on-site event execution. The Operations Coordinator will serve as a central point of contact for prospective and confirmed event clients—from the initial inquiry and venue tour through booking, invoicing, and on-site event coordination. The role also supports the day-to-day administrative and technology needs of the winery, tasting room, and event center. This position will begin as part-time, with the potential to transition into a full-time role based on performance. The ideal candidate is self-motivated, resourceful, able to quickly learn new technologies, and committed to providing exceptional customer service. They should enjoy working in the wine and hospitality industry, confidently engaging with prospective clients, and managing a variety of administrative and event-related responsibilities. Key Responsibilities Event Sales and Coordination Respond promptly and professionally to wedding and event inquiries received by email, phone, and through the website. Present venue options and pricing packages clearly and persuasively. Conduct polished, engaging private venue tours for prospective couples and event clients. Maintain communication with clients throughout the sales and planning process. Prepare contracts, invoices, and other event-related documents. Help convert qualified inquiries and venue tours into confirmed bookings. On-Site Event Execution Serve as the primary on-site venue contact during weddings, private parties, wine club gatherings, and winery events. Coordinate with clients, vendors, and winery staff to keep events running smoothly. Help manage timelines, venue logistics, setup requirements, and event-day details. Anticipate and resolve issues promptly while maintaining a polished and welcoming guest experience. Administrative and Technology Support Monitor and respond to business emails in a timely and professional manner. Create and maintain organized spreadsheets, documents, PDFs, client records, and operational materials. Perform light, non-developer website updates, such as revising business hours, event calendars, images, and text. Provide support for a broad range of administrative projects using Google Sheets, Microsoft Excel, Google Docs, Microsoft Word, PDF tools, image files, and other business applications. Work confidently across PCs, Macs, iPhones, iPads, and other common workplace technology. Learn and use new software and digital tools efficiently. Marketing Support Coordinate email outreach and digital marketing initiatives promoting the tasting room, event venue, and wine club events. Help maintain accurate and engaging website and social media content.
Potential Expanded Responsibilities:
Wine Club Support As the position develops, responsibilities may expand to include: Assisting with wine club order processing and fulfillment. Updating member records, including payment information, shipping addresses, and order preferences. Helping resolve billing, payment, and fulfillment issues. Creating printed wine club inserts approximately twice per year. Supporting wine club billing and member communications. Qualifications and Skills Minimum of 2 years of relevant experience in hospitality, event planning, winery operations, or administrative/executive sales support. Wine industry experience is helpful but not required. Must be available to work a variable part-time schedule, including evenings and weekends as dictated by the event calendar. Strong customer-service and sales mindset, with the ability to make prospective clients feel welcome, understood, and confident in booking the venue. Exceptional verbal and written communication skills. Highly organized, detail-oriented, and able to manage multiple priorities with minimal supervision. Resourceful and comfortable taking initiative, solving problems, and moving between varied responsibilities. Strong proficiency with Microsoft Word and Excel, Google Workspace, email platforms, social media, and general business technology. Confidence using both PC and Mac computers, as well as smartphones and tablets. Experience with winery management software, Squarespace, Mailchimp, or similar platforms is a significant plus. Ability to stand and walk for extended periods during events and safely lift up to 40-50 pounds, including cases of wine, event signage, and light furniture. Compensation and Perks Competitive pay of $22-$26 per hour, depending on experience. $100 booking bonus for each wedding or event venue contract successfully secured.
