Job Overview We are seeking a dynamic and energetic Event Coordinator to lead the planning, organization, and execution of a diverse range of events. As an Event Coordinator, you will collaborate with clients, vendors, and internal teams to ensure seamless event delivery that exceeds expectations. Your proactive approach and organizational prowess will be instrumental in creating impactful events that leave lasting impressions. Duties Coordinate all aspects of event planning, including venue selection, catering arrangements, entertainment, and technical setups. Negotiate contracts with vendors, venues, and suppliers to secure favorable terms while maintaining quality standards. Manage event budgets meticulously, tracking expenses and identifying opportunities for upselling additional services or enhancements. Develop comprehensive event marketing strategies to promote events effectively across various channels. Utilize event management software and CRM systems to streamline planning processes, track client preferences, and manage guest lists. Oversee on-site event execution, ensuring all logistics run smoothly and guest experiences are exceptional. Lead and motivate a team of staff or volunteers to deliver outstanding customer service during events. Maintain clear communication with clients throughout the planning process, providing updates and managing expectations. Handle last-minute issues swiftly with professionalism, ensuring minimal disruption to the event flow. Qualifications Proven experience in event planning or management within the hospitality or events industry. Strong negotiation skills with a track record of securing advantageous contracts and deals. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with event management software and CRM systems. Excellent organizational skills with the ability to manage multiple projects simultaneously under tight deadlines. Exceptional communication skills for client interaction, team leadership, and vendor negotiations. Experience managing event budgets and understanding of financial aspects such as cost control and upselling opportunities. Knowledge of catering operations, banquet services, and guest hospitality standards is highly desirable.
