Hourly, Non-Exempt Position Overview The Guest Experience Coordinator is responsible for planning, coordinating, and executing magical moments for golf groups, corporate retreats, day golfers, and special events driving incremental revenue. Serving as the primary point of contact for assigned groups from contract turnover through departure, this position ensures every detail is executed seamlessly while delivering personalized service consistent with the company's brand. Working closely with the Guest Experience Manager, Sales, Golf Operations, Lodging, Food & Beverage, Retail, Reservations, Front Desk, and Accounting, the Guest Experience Coordinator manages group logistics, upsells all offerings, communicates event details across departments, and provides outstanding on-site support to create magical moments for guests. The Profile The successful Guest Experience Coordinator is organized, proactive, and passionate about creating magical moments for guests . They build trusted relationships with guests, anticipate guest needs, communicate effectively across departments, and every detail with precision while driving incremental revenue for each group. Through exceptional hospitality and operational excellence, they help deliver the world-class service that defines Cabot Citrus Farms. Key Responsibilities Serve as an ambassador for the property, the primary contact for assigned groups. Drives incremental revenue while coordinating all event details, including rooming lists, arrival information, tee times, golf pairings, transportation, dining reservations, amenities, gifting, activities, special requests and billing. Conduct planning calls with guests to review itineraries and event requirements while completing a full checklist of required information for operations to succeed. Ensures the property has ALL data for each guest relating to names, email addresses, phone numbers, zip codes and handicaps. Prepare and distribute group resumes, event orders, and operational communications to all resort departments. Confirm all event details prior to arrival to ensure operational readiness. On-Site Guest Experience Welcome groups upon arrival and serve as their on-property host throughout their stay. Conduct daily client check-ins to ensure expectations are exceeded. Coordinate VIP arrivals, welcome gifts, and special amenities. Respond promptly to guest requests and resolve concerns in a professional and timely manner. Ensure seamless execution of all scheduled activities throughought the guest experience. Cross-Department Collaboration Work collaboratively with Sales, Golf Operations, Lodging, Food & Beverage, Retail, Reservations, Front Desk, Housekeeping, and Accounting. Maintain clear communication before, during, and after each event to ensure operational excellence. Administrative Responsibilities Maintain accurate event files and planning documents. Manages billing, review with Group Lead, master account reconciliation, and post-event follow-up. Track guest preferences and special requests to enhance future visits. Support the Guest Experience Manager with departmental projects and continuous process improvements. Qualifications Associate's or Bachelor's degree in Hospitality Management, Business, Event Management, or a related field preferred. Two or more years of experience in hospitality, luxury resorts, golf operations, event planning, or guest services preferred. Organizational and time management skills. Interpersonal and communication skills. Ability to manage multiple priorities in a fast-paced environment. Proficiency in Microsoft Office; experience with Opera, Agilysys, Canary & Medalia preferred. Apply Online
