The Wooly Event Space is located in the heart of Downtown Gainesville and is a versatile, contemporary event venue with in-house catering and concert sound. The Depot Event Space is located in the Historic Depot Station at Depot Park and is a rustic, park-side event venue perfect for social events, corporate events, and everything in between. Candidate should have event experience and help provide venue coordination for events ranging from wedding ceremonies/receptions, holiday parties, university banquets, corporate retreats, cocktail parties, and more. This full-time position is approximately 32-35 hours per week.
Primary Responsibilities:
Communicate with Events Director weekly about upcoming events. Assists the Events Director with day-to-day event management operations including email/phone correspondence with clients, fielding event inquires, creation of contracts, processing of event deposits, preparation of invoices, maintaining the event calendars, creation of event signage/menu labels etc. Provides pre-event administrative assistance for clients for both event venues including coordination of in-house catering services provided by The Top Restaurant, cocktail bar services, linen services, etc. Independently conducts regular property tour appointments for The Wooly and The Depot Event Space for potential clients interested in renting the venues. Facilitates social media marketing efforts for both venues on websites including Instagram, Facebook, WeddingWire, and The Knot. Assists with the event planning and on-site coordination of numerous internal events including dinner parties, silent auctions, film showings, sampling events, and more Maintains office and venue cleanliness and organization.Required Skills/Needs:
