About the Opportunity Wyndemere Country Club is seeking an experienced, highly organized, and hospitality-driven Events Director to lead the planning and execution of Club events and private functions.
The Events Director serves as the primary point of contact throughout the entire event process, from the initial inquiry and booking through planning, execution, billing, and post-event follow-up. This role works closely with Members and collaborates across Culinary, Food & Beverage, Communications, Facilities, and other Club departments to bring each event to life.
We're looking for someone who loves the details, communicates exceptionally well, can manage multiple events and deadlines at once, and knows how to create a seamless experience behind the scenes while making it feel effortless for the Member. What You'll Do Serve as the primary point of contact for Club events and private functions from initial inquiry through post-event follow-up. Build relationships with Members and provide responsive, personalized communication throughout the planning process. Book events and manage event details, room reservations, contracts, and timelines in Tripleseat. Prepare accurate and comprehensive Banquet Event Orders (BEOs). Coordinate menus, floor plans, seating, linens, décor, centerpieces, entertainment, audiovisual needs, rentals, and other event details. Develop and manage event budgets within approved parameters. Collaborate with Culinary and Food & Beverage leadership on menus, staffing, beverage service, dietary needs, buffet layouts, and event execution. Coordinate with Communications on event flyers and promotional materials. Conduct event pre-shift lineups and ensure Team Members understand event details and service expectations. Oversee event setup, execution, and breakdown while maintaining a visible presence during events. Anticipate Member and operational needs and resolve changes or concerns professionally and efficiently. Complete event billing and Member charges accurately and promptly. Complete post-event notes and follow-up, including Member feedback and event documentation. Maintain established event planning timelines to ensure every department has the information needed for successful execution. What We're Looking For Previous professional experience in event planning, catering, banquet operations, private clubs, hotels, resorts, or a similar hospitality environment . Experience independently managing events from planning through execution. Private club or luxury hospitality experience is strongly preferred. Strong knowledge of BEOs, event timelines, floor plans, contracts, and event logistics. Exceptional organization and attention to detail. Excellent written and verbal communication skills. Strong hospitality mindset and ability to build relationships with Members. Ability to manage multiple events, deadlines, and changing priorities simultaneously. Strong problem-solving skills and the ability to remain calm when plans change. Ability to collaborate effectively with Culinary, Food & Beverage, Communications, Facilities, and other departments. Experience managing event budgets and billing. Proficiency with Microsoft Office and event-management technology; Tripleseat experience is preferred . Creative eye for event presentation, décor, and overall Member experience. Availability to work evenings, weekends, holidays, and extended hours based on the Club's event calendar. Why Wyndemere?
