Job Description

The Event Manager is a key position responsible for coordinating and executing a diverse calendar of events, programs, and member experiences. This role focuses on delivering professionally executed events that provide exceptional value to members, sponsors, speakers, and guests. Working closely with the Chamber team, the Event Manager ensures that every program reflects commitment to connection, professionalism, and service to the Palm Beach business community.
Key Responsibilities:
Event Planning & Execution:
Coordinate and execute Chamber events, including breakfasts, luncheons, networking programs, receptions, committee programs, workshops, and special events.
Event Logistics:
Manage event details including venues, catering, audiovisual requirements, room layouts, signage, registration, transportation when applicable, and vendor coordination.
On-Site Event Management:
Serve as an on-site event lead, overseeing setup, registration, program execution, guest experience, and breakdown to ensure events operate smoothly and professionally.
Vendor & Venue Coordination:
Work directly with venues, caterers, audiovisual providers, and other vendors to confirm event requirements, timelines, and deliverables.
Program Coordination:
Develop event timelines and run-of-show documents and coordinate speakers, presenters, sponsors, and other program participants.
Registration & Member Experience:
Manage attendee registration and check-in while providing exceptional service to Chamber members, sponsors, guests, and community partners.
Sponsorship Sales & Fulfillment:
Identify and pursue event sponsorship opportunities, support sponsorship sales efforts and help generate revenue for Chamber programs and events. Coordinate with the Partnership Development Manager and Chamber leadership to secure sponsors and ensure all sponsorship benefits, signage, recognition, seating, and other deliverables are fulfilled accurately.
Event Systems & Administration:
Maintain accurate event information, registrations, attendance records, and related data within the Chamber's CRM and event management systems.
Marketing Collaboration:
Partner with the marketing team to ensure accurate event information and timely promotion across Chamber communications and digital platforms.
Financial Coordination:
Assist with event budgets, invoices, expenses, vendor payments, and other event-related financial documentation.
Event Inventory & Materials:
Maintain event supplies, signage, equipment, promotional materials, and other resources necessary to support Chamber programs.
Team Collaboration:
Work collaboratively across departments and assist with additional Chamber programs, initiatives, and special projects as needed.
Qualifications:
Bachelor's degree preferred and/or 2+ years of experience in event planning, hospitality, nonprofit programming, association management, or a related field Demonstrated experience coordinating multiple events and deadlines simultaneously Strong communication and interpersonal skills with the ability to work effectively with members, sponsors, vendors, executives, and community stakeholders Experience with CRM, registration, or event management software Ability to work collaboratively in a fast-paced, mission-driven environment Ability to work early mornings, evenings, and occasional weekends based on the Chamber's event schedule Valid driver's license and reliable transportation

$62,000.00 - $67,000.00 per year
