POSITION SUMMARY
Chef Lowell LLC is seeking a highly organized, detail-oriented, and proactive Catering Coordinator - Operations & Event Logistics to support the successful planning and execution of catering events. This position serves as the operational bridge between sales, culinary, staffing, administration, and event execution . Once an event has been sold and confirmed, the Catering Coordinator is responsible for helping transform the client's agreement into a complete operational plan. This is primarily a back-of-house coordination and administrative operations position , not a traditional sales position. The Catering Coordinator must ensure that menus, BEOs, staffing needs, rentals, equipment, production information, timelines, client updates, dietary requirements, venue information, and other event details are organized and communicated before the event.
The goal is simple:
The event team should never arrive at an event wondering what they are supposed to do, what they are serving, what equipment they need, or what the client was promised.
CORE RESPONSIBILITIES EVENT COORDINATION & OPERATIONS
Coordinate the operational details for confirmed catering events from contract handoff through event completion.
Responsibilities include:
Review newly booked events with the Catering Sales Manager and/or leadership. Confirm that all required event information has been collected. Maintain organized event files and documentation. Coordinate event timelines and operational deadlines. Confirm event date, location, guest count, menu, service style, and event schedule. Track final guest-count deadlines. Track menu confirmation deadlines. Track dietary restrictions and special meal requirements. Coordinate venue access, loading, unloading, parking, elevators, kitchen access, and setup requirements. Maintain accurate event notes. Identify missing information before it becomes an operational problem. Escalate significant changes or concerns to management immediately. The Catering Coordinator is expected to anticipate operational needs rather than wait for problems to occur.
