Full-time, Benefited, ExemptJOB SUMMARY
This position plans and coordinates Diocese of Joliet sponsored events at the Blanchette Catholic Center, the Cathedral of St. Raymond Nonnatus, and other locations throughout the Diocese. This position is responsible for organizing and executing diocesan-wide events such as meetings, seminars, speaker engagements, retreats, convocations, lunches, dinners, and the non-liturgical portions of Cathedral events. This position reports directly to the Director of Buildings and Properties and will work closely with other diocesan offices, including but not limited to the Office of the Bishop, Communications Office, Development Office, Office of Divine Worship, Catholic Schools Office, Department of Catechesis and Evangelization, Finance Department, and Information Technology. The individual must be skilled at building relationships and able to relate to individuals at all levels within/outside the organization. The individual must be sensitive to organizational, and department needs, employee goodwill and the overarching mission of the Catholic Church.DUTIES & RESPONSIBILITIES
- Responsible for all aspects of events from planning through execution including but not limited to invitations, speaker scheduling, transportation and hotel arrangements, event registration, catering, decorations, musicians, technology, event set-up and take-down, security, using Microsoft Forms or other technology as appropriate.
- Provide recommendations based on experience and relevant circumstances and a documented plan for events that includes event details, accountability, and timeline.
- Adhere to event budgets.
- Manage and attend events and address potential problems that may arise.
- Maintain a working knowledge of the complex needs of a wide variety of events.
- Work effectively as a team member to cover every aspect of the event.
- Promote and market activities (social media, direct mail/e-mail, etc.), collaborating closely with the communications department.
- Manage contact lists and files for all special events.
- Maintain a master database with information related to each event.
- Manage a calendar of in-person events to ensure proper spacing of events.
- Manage facility events calendar and approve room usage requests to ensure availability and proper room setup.
- Work closely with department staff teams to ensure that events meet their expectations.
- Stay current on latest technological advances in communication and best practices in event management.
QUALIFICATIONS
- High school diploma or equivalent required.
- Bachelor's degree in Business Management, Event Planning, Marketing, or related degree preferred.
- 1-3 yrs. event planning & management experience, particularly with non-profit organizations; volunteer experience will be considered.
- Advanced skills with Microsoft Applications including Outlook, Excel (V-Lookup/Formulas), PowerPoint, Social Media platforms, photo/video editing, and other Web based applications, required.
- Bilingual

OTHER DUTIES AND RESPONSIBILITIES
- Must support the mission, philosophy, objectives and policies of the Catholic Church and the Diocese of Joliet.
- Handle other duties as assigned.

SALARY RANGE
Salary range is $50,000- $56,000 annual, depending on experience and education.

WORKING CONDITIONS
- This is a full-time benefited exempt position.
- Normal work schedule is Monday
- Thursday, 8:00 a.m.
- 4:30 p.m. and Friday, 8:00 a.m.
- 1:30 p.m.
- This position requires some travel throughout the Diocese of Joliet and may entail evening and weekend activity.
- Flexibility of schedule and reliable transportation are required.
Pay:
$50,000.00- $56,000.
