Operations Specialist Position Summary The Andover Area Chamber of Commerce is seeking a highly organized, relationship-focused professional to serve as our Operations Specialist. This position plays a vital role in delivering exceptional member experiences, supporting Chamber operations, coordinating events and programs, managing member communications, and ensuring the day-to-day functions of the Chamber run smoothly. The ideal candidate is detail-oriented, proactive, customer-service driven, and passionate about supporting local businesses and community growth. This individual will work closely with the President & CEO and Membership Development Specialist to strengthen member engagement, enhance operational efficiency, and support the Chamber's mission of elevating the business community. Andover, Kansas Essential Responsibilities Member Experience & Engagement Coordinate new member onboarding and orientation processes Manage welcome communications and member benefit fulfillment Coordinate ribbon cuttings, groundbreakings, and member celebrations Support Chamber Liaison activities and communications Assist with member retention efforts through outreach and engagement initiatives Maintain accurate member records within Chamber software systems Ensure members are aware of Chamber benefits, programs, and opportunities Chamber Operations & Administration Answer incoming phone calls, greet visitors to the Chamber office, and monitor the info email inbox Manage Chamber Nation database updates and records Process membership applications, renewals and invoices Maintain office organization and administrative systems Assist with committee meeting logistics, agendas, materials, and follow-up Coordinate office communications and general inquiries Support coworking space administration, reservations, inquiries, and member communications Write and send handwritten thank you notes to members, speakers, sponsors, hosts, etc. Prepare and process renewal packets Maintain and organize member marketing collateral and prepare community outreach packets. Events & Programs Coordinate event logistics for Chamber coffees, luncheons, networking events, educational programs, ribbon cuttings, and special events Manage registrations, attendance tracking, and event communications Assist with sponsor fulfillment and event preparation Coordinate event materials, signage, nametags, and participant communications Confirm volunteer assignments and send volunteer reminder emails Provide onsite event support as needed Communications & Marketing Support Develop and distribute Chamber newsletters and email communications Update/create basic marketing materials using Canva and other approved platforms Assist with maintaining communication calendars and marketing schedules Schedule social media posts and engage with member social media platforms. Data & Reporting Track member engagement and participation metrics Maintain event attendance records Generate reports as requested Support sponsorship and membership tracking efforts Assist with maintaining accurate Chamber records and documentation Preferred Qualifications Associate's degree or equivalent experience preferred Experience in customer service, nonprofit administration, office management, event coordination, membership organizations, or related fields Strong organizational and time management skills Excellent written and verbal communication abilities Ability to manage multiple projects and deadlines simultaneously Proficiency in Microsoft Office and Google Workspace Experience with Canva or similar design software preferred Experience with CRM or membership database systems preferred Experience with email marketing platform preferred Social media management experience preferred Event planning experience preferred Desired Characteristics The ideal candidate will be: Relationship-oriented and service-minded Highly organized and detail-focused Self-motivated and dependable Comfortable learning new technology and systems Adaptable in a fast-paced environment Professional and positive in all interactions Passionate about supporting local businesses and community development A collaborative team player willing to assist wherever needed Physical Requirements Ability to lift and carry materials up to 25 pounds Ability to set up and tear down event materials Ability to attend occasional early morning, evening, or off-site events Ability to sit, stand, and work at a computer for extended periods Why Join Our Team?
