Job Description

The position incumbent will support the operations of the Conference Services department at Berea College. Candidate should be prepared to work with each incoming group, help prepare for their arrival and work with necessary departments to ensure their time on campus is enjoyable. Candidate should be comfortable serving as the Point of Contact for customers, and have the ability to respond to their needs while on campus. The Summer Conference Assistant supports the operations of the Conference Services department at Berea College by coordinating logistical and operational needs for camps and conference groups hosted on campus. The incumbent works closely with incoming groups to prepare for their arrival and collaborates with campus partners such as Facilities Management, Dining Services, and Student Life to ensure events run smoothly. This role serves as a primary on-site point of contact for conference guests, responding to questions, addressing concerns, and helping resolve issues as they arise. The position requires strong organization, communication, and problem-solving skills, as well as the ability to manage multiple tasks in a fast-paced conference environment while representing Berea College in a professional manner.
  • Coordinate with campus partners including Facilities Management, Dining Services, Student Life, and other departments to ensure the successful execution of summer camps and conference programs.
  • Serve as a primary point of contact for assigned camp and conference groups, assisting with logistics, schedule coordination, and day-to-day operational needs.
  • Provide guidance and coordination for Student Labor employees, working collaboratively to ensure coverage of conference support tasks and event needs.
  • Maintain and organize conference documentation, schedules, and operational materials for each group to ensure accurate and efficient program support.
  • Monitor conference operations and respond to issues in real time, troubleshooting logistical challenges and communicating with appropriate campus partners to resolve concerns.
  • Demonstrate flexibility and sound judgment while managing multiple priorities in a fast-paced conference environment.
  • Support the implementation of campus safety procedures by understanding and responding appropriately to accidents, emergencies, or facility concerns.
  • Represent Berea College professionally when interacting with external camp and conference guests, providing excellent customer service and ensuring a positive campus experience.
HS Diploma 1 to 3 years of experience in either marketing, sales, customer service, tourism, or property management 2+ years of experience in Event Planning or Coordination 2+ years of experience in Program Management or Coordination
